BILLING ADMINISTRATOR

Position Overview:

Seeking an administrative professional to join our billing team within the Mechanical Services Department. Please note: this position is in our corporate office five days per week. This position will collaborate daily with a variety of teams including: Accounting, Accounts Receivable, Accounts Payable, Purchasing/Procurement, Contracting, and Project Managers in our Mechanical Services line of business. This position will report directly to the Billing Manager. The ideal candidate will enjoy working on operations and procedures in a team environment with a balance of collaborative and independent responsibilities. The selected candidate will need to clearly communicate findings and solutions to teammates. Additionally, the ideal candidate will be seeking a long-term relationship with an employer to further their career. This is a full-time and exempt (salaried) position.

This role will specifically support the Mechanical Services line of business within Elliott-Lewis. Mechanical Service includes installation of commercial HVAC units; proactive maintenance of HVAC, boilers, and chillers; service repairs to HVAC, boilers, and chillers; and mechanical construction projects.

Role and Responsibilities

  • Perform timely and accurate invoicing for service accounts for high volume customers

  • Document invoicing for various projects, as well as perform the billing, as needed

  • Review and verify accuracy of clients invoicing

  • Respond to internal and external billing inquiries, coordinating with Accounts Receivable when necessary

  • Ability to be utilized in the service department for the billing of various customers

  • Review work summary sheets for each work order and make sure all items are billed correctly

  • Establishes and maintains effective work relationships within the department, the division, the group, and the company.

  • Includes ability to work independently and to interact with others so as to establish and maintain a positive and productive work environment

  • Collaborate and interact with departments throughout the organization

Required Skills:

  • A High School Diploma or GED

  • A minimum of 3-5 years of experience in aspects of general accounting

  • Excellent verbal and written communication skills

  • Exceptional analytical and problem solving skills

  • Attention to detail

  • Ability to multi-task

  • Basic skills in Microsoft Outlook, Excel, and Word

Preferred Skills and Education:

  • A High School Diploma or GED

  • A minimum of 3-5 years of experience in aspects of general accounting

  • Excellent verbal and written communication skills

  • Exceptional analytical and problem solving skills

  • Attention to detail

  • Ability to multi-task

  • Basic skills in Microsoft Outlook, Excel, and Word

Physical Requirements

  • Regularly requires a high degree of mental effort, talk and hear, gross and fine manipulation, read both print and screens for extended periods of time.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

  • Frequently required to walk and sit

  • Occasionally required to reach with hands and arms, lift 25 lbs. max, stand and stoop, kneel, or crouch, and climb stairs

  • Expected to work in a moderately loud level of volume environment.
