Robert Half Administrative Coordinator in Philadelphia, Pennsylvania

Description We are looking for an Administrative Coordinator to join our team in the engineering industry, based in Philadelphia, Pennsylvania. As an Administrative Coordinator, you will be responsible for managing the day-to-day operations of the office, including handling client interactions, managing schedules, and coordinating various administrative tasks. This role offers a short-term contract employment opportunity.

Responsibilities:

• Manage day-to-day office operations, ensuring smooth and efficient workflows.

• Oversee the front desk, greeting and directing clients appropriately.

• Handle the sorting and distribution of office mail.

• Schedule and set up conference rooms for meetings, ensuring all necessary equipment and materials are available.

• Coordinate catering for meetings, liaising with vendors to ensure timely delivery and setup.

• Assist with additional administrative tasks and projects as needed.

• Utilize your skills in administrative assistance to ensure office operations run smoothly.

• Apply your expertise in reserving conference rooms to manage the meeting schedules effectively.

• Perform receptionist duties, providing a welcoming and professional environment for all office visitors. Requirements

• Possess a minimum of 1+ years' experience in an administrative role within the engineering industry

• Demonstrated proficiency in providing administrative assistance

• Proven ability to manage room reservations for conferences and meetings

• Excellent organizational and multitasking skills

• Strong written and verbal communication skills

• Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint

• Ability to work efficiently in a fast-paced environment

• Must possess a strong attention to detail and problem-solving skills

• Ability to build and maintain professional relationships with various stakeholders.
