THE POSITION

The Department of Health is seeking a detail-oriented and organized individual to join our team as an Administrative Assistant 1 within the Bureau of Statistics and Registries, Division of Vital Records. In this role, you will be responsible for supporting the mission of maintaining a statewide registry for vital events. You will also perform fiscal management responsibilities, carry out public relations duties, and oversee the operations of the Harrisburg and Scranton branch offices. Excellent time management and communication skills are essential for success in this position. DESCRIPTION OF WORK

As as Administrative Assistant 1 for the central region, you will play a crucial role in the Harrisburg and Scranton branch offices. Your responsibilities will include providing advice and counseling on issues related to vital events. You will also perform public relations activities by interacting with funeral directors and consumers. Additionally, you will serve as a backup to the branch clerks by providing assistance and customer service for birth and death records. In this position, you will be responsible for coordinating onboarding for new employees and ensuring that all necessary documents are submitted in compliance with regulations. In addition, you will oversee the fiscal management of the branch office which includes:

  • P reparing statistical reports

  • M anaging incoming revenue and reconciling daily

  • Ensuring daily deposit of revenue into appropriate funding streams

  • R econciling bank statements

  • Serving as the purchasing coordinator

    Work Schedule and Additional Information:

  • Full-time employment (37.5-hour work week)

  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.

  • Salary: In some cases, the starting salary may be non-negotiable.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university;or

  • Any equivalent combination of experience and training.

  • Applicants will be considered to have met the educational requirements once they are within 3 months of graduating with a qualifying degree.
