Why This Role
The role is based in Penang, Malaysia. As the ideal candidate, you will provide administrative support to the Manger / Deputy Director / Director / VP to ensure a smooth-running efficient office environment.
What You Will Do
Meetings: Coordinate meetings; staff meetings, offsite strategic meetings and take down accurate minutes of meeting as required by Staff Managers
Travel Arrangement: Arrange business travel. Plan detailed itinerary, logistics and accommodation
Claims: Submit Claims for Manager / Dty Director / Director / VP (such as medical, travel, entertainment, phone bill, personal etc.)
Confidentiality: Maintain and safeguard company confidential material/files/correspondence
Maintenance of Office Files: Establish a systematic filing system which is easily accessible and clearly labeled
Communication Device Allowance: Coordinate and manage CD Allowance
Correspondence: Respond to inquiries/ correspondence and memos needing written communication
Maintenance of Office Equipment: Operate, clean regularly, and recommend maintenance needs for all office equipment (i.e: copier machine, printers, computer, etc.)
Inventory Control for Office Supplies: Control, issue and order office consumables, keep watchful eye on stock level
Preparation of Bulletin: Keep an up-to-date calendar of events, gather information, update bulletin information and communication packages for staff dissemination
Sort Incoming Mail and Faxes: Date stamp all incoming mails and faxes and arrange by order of priority
Preparation of Monthly Report: Responsible for setting reasonable deadlines for report submission. Consolidate individual managers’ reports into one report, edit, format, proof read the report before final vetting by Staff Manager.
Maintain Personnel Records: Maintain personnel files on all personnel, support/office staff, as outlined in Employee Policy
Maintenance of Bulletin Boards: Maintain orderly bulletin boards with current information
Project Management: Take up ad-hoc projects assigned by Staff Manager and complete them within stipulated time frame

Display the ability to communicate well with all levels of staff both verbally and written
Think on your feet. Be mindful of the department goals and objectives when scheduling and planning your work so as to ensure that there is no compromise or risks to these goals & objectives
Must possess knowledge of current company policies, procedures and programs
Keep abreast on the latest developments in the semiconductor industry and happenings around the world that affects the economy at large
What You Will Need
LCCI Private Secretarial Diploma or Equivalent.
At least 5 years working experience as Office Manager or Administrative Assistant.
Must have experience supporting large teams / BU
Experience working in a matrix organization will be a plus
Excellent computer literacy in MS Office Applications
Good command of spoken & written English
Must have good interpersonal skills and be able to interact with all levels of staff
Must have initiative and be proactive in handling duties and all other tasks assigned by supervisor
Must be committed to work and produce high quality output at all times
Must be discreet in handling company confidential documents
