Description:

The City of Palo Alto is seeking a friendly, detailed, and energetic Field Services Coordinator (Clerical Assistant-H) for the City of Palo Alto to support the fields and tennis court reservations and the front office at the Cubberley Community Center or other City’s Community Centers. The City of Palo Alto oversees numerous grass fields, three multiple purpose turf fields, and eight tennis courts and has three City Community Centers.

Schedule: May vary based on need but candidates will need to be available 4-5 days a week (may include holidays and weekends) and will need to be available either for the AM or PM shift.

AM: 8:30 a.m.-12:30 p.m.

PM: 1:30 p.m.-5:30 p.m.

This is an SEIU Hourly (limited-benefits) position that is budgeted to not exceed 1,000 hours per fiscal year. The number of hours per week and schedule will be determined based on assignment.

The City of Palo Alto offers the following benefits to those in a SEIU Hourly position:

  • Medical Stipend $3.64 per hour

  • Sick Leave Earn .03 hour of sick leave for each hour worked.

Essential Duties:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

  • Provide customer service at Cubberley Community Center front office or other City’s Community Centers. Process field and tennis requests

  • Monitoring inbox

  • Emails

  • Phones

  • Customer Support

  • Manage City’s fields/tennis court email

  • Assist Fields Manager in field managing meetings and field user group meetings

  • Monitor field use to ensure fields are being used to full potential

  • Help monitor field and tennis court conditions

  • Condition of turf, reporting issues to field maintenance

  • Motoring goal storage and lock combinations

  • Update rain phone line

  • Provide basic rental information and facility permits (availability, pricing, paperwork, creating permits, and processing payments)

  • Provide walkthroughs and tours of Community Centers facilities

Minimum Qualifications:

Sufficient education, training and/or work experience to demonstrate possession of the following knowledge, skills and abilities, which would typically be acquired through:

  • One year customer service and administrative experience.

Special Requirements: Possession of a valid California Driver's License.

Preferred Qualifications:

  • Excellent verbal and written communication skills

  • Experience answering phone calls from customers

  • Knowledge of Microsoft Office
