Job Description:

The Research Administrator II will coordinate the pre-award responsibilities for The Wertheim UF Scripps Institute for sponsored projects in accordance with University and sponsor regulations and provide policy and procedure interpretation to the labs. This position will also coordinate and assist in preparation of reports to federal and sponsoring agencies as needed.

  • Provides pre-award support which includes reviewing requests for proposal (RFP) and identifying the specific requirements and policies are met while ensuring the policies are within or consistent with those of UF; reviews the prepared budgets for accuracy and compliance with the grant requirements of each proposal.

  • Assists with the development, management, authorization and transmittal of proposals to federal, state, and private funding agencies.

  • Reads and interprets contracts and other award documents to determine budget, invoicing schedule, restrictions and other pertinent information needed to ensure accurate preparation of grants for submittal to the Division of Sponsored Programs (DSP).

  • Provides technical assistance to PIs, administrative support staff for the labs, and others in order to ensure efficient and effective collection of needed information to prepare and submit grants for review to DSP.

  • Interacts with PIs, administrative support staff for the labs, and sponsors to resolve problems and correct errors in preparation of grant submittals.

  • Assists administrative staff and faculty in assessing funding opportunities.

  • Confer with investigators and campus administrators to ensure that changes or corrections are made as needed.

Expected Salary:

Commensurate with experience.

Minimum Requirements:

Bachelor’s degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications:

  • Ability to communicate well both verbally and in writing with faculty, staff and various funding sponsors.

  • Ability to act as liaison and use communication skills with professionals of various contract and grant funding sources.

  • Ability to evaluate and give technical assistance in the preparation and submission of proposals and to evaluate data relative to proposal submission.

  • Knowledge of and accountable for all current rules, regulations, policies and procedures relating to the funding sponsors, the State of Florida and the University of Florida.

  • Ability to understand and utilize problem solving techniques.

  • Ability to establish and maintain effective working relationships with others.

  • Professional code of conduct becoming of a public employee.

  • Ability to work independently with supervision and use good judgment to set priorities.

  • Knowledge and understanding of the University Research Administration structure is a must. Proficiency in all office applications necessary for efficient execution of their duties. This includes at a minimum, PeopleSoft, Adobe applications, email clients, and Microsoft suite of applications like Excel, Word, PowerPoint.

  • Experience with NSF, CDMRP, NIH, and other federal sponsors;

  • Proficiency with grant management systems, including Research.gov, eBRAP, and Grants.gov Workspace;

  • Working knowledge of grant-related laws, regulations, and policies (such as the NIH Grants Policy Statement and CFR §200; Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards (Uniform Guidance)

  • Ability to interpret and apply grant and contract guidelines and regulations.
