As we continue to develop Marine & Offshore activities, we are delighted to offer a unique opportunity to join our organisation as Administrative Assistant, South East Europe, Black Sea & Adriatic Zone department. Position is located within our Piraeus office in Greece and you will be welcomed in a supportive and collaborative learning environment.

Your main responsibilities are:

  • Support Zone’s operational tasks (reporting to Executive Assistant of Senior Vice President).

  • Assist in the planning, organization, and execution of corporate events, conferences, and meetings.

  • Handle flight bookings, hotel reservations, and ground transportation for corporate travelers in cooperation with travel agency.

  • Support QHSE administrative tasks.

  • Organize and manage filling system and other records ensuring safekeeping of confidential materials.

  • Handle, draft and edit documents.

  • Assist in writing and distributing reports.

  • Manage executive calendars, appointments, and travel arrangements.

  • Handle and prioritize incoming emails and phone calls.

  • Order, organize, and maintain office supplies.

You are the ideal candidate if:

  • Minimum 5 years of experience in administrative and / or secretarial support

  • Previous experience in the Marine industry (required)

  • Excellent organization skills and attention to detail

  • Adaptability skills to keep up with changing priorities

  • Ability to maintain confidentiality, exercise discretion, and manage sensitive information

  • Effective communication skills (both written and verbal)

  • Fluency in English both written and verbal

  • Good knowledge in French both written and verbal (nice to have)

  • Proficiency in office software (Microsoft Office, Excel, Word)

  • The candidate must comply with ethics; be dynamic, energetic, motivated, accommodating; have a positive attitude and good judgment.

  • Ability to work alone and in a team.
