The Middlesex Corporation Administrative Assistant - Health, Safety and Environmental in Orlando, Florida
Position Summary:
The Health, Safety & Environment (HSE) Administrative Assistant is responsible for providing general administrative and field safety support to the HSE Department. The position requires the ability to work collaboratively within the department as well as with operations to support the corporate safety program and promote better safety for our team members.
Responsibilities:
Comply with (and actively promote) all Safety policies and procedures including reporting all accidents, incidents, and near-misses to ensure adherence to our Number One Core Value – Safety first, in everything we do.
Provides departmental general administrative support
Assists in tracking, reporting, and recordkeeping for the HSE Department, including safety metrics on all safety metrics
Assists in the development and tracking of safety training
Coordinates safety events as directed by the HSE Directors
Review and prioritize incoming communication (e.g., mail, requests, etc.)
Keep files organized by establishing, tracking, and updating file management
Assist in the preparation of correspondence, memos, reports, transmittals, presentations, and other documents, which may require the gathering of data from various internal and/or external sources
Proofreads content for accuracy and established formatting
Copying, scanning, and distributing documents as needed
Perform additional assignments as required by the needs of the corporation, or as otherwise directed
Meeting regularly with the HSE Corporate Director.
Qualifications:
Excellent verbal and written communication skills
Strong computer skills including Office 365 productivity suite
Bluebeam experience a plus
Necessary Attributes:
Strong organizational and time management skills
Professional and pleasant demeanor
Attention to detail and follow-through a must
Ability to understand and handle sensitive and confidential matters
Ability to work independently on multiple tasks
Must possess the ability to adapt to different personalities and management styles
Able to accomplish assigned tasks with minimal supervision
Self-motivated, dedicated, and hard working
Above average organizational skills
Bi-lingual (English/Spanish) preferred
