A Brief Overview

Provides project leadership in collaboration with the director of ambulatory operations and ambulatory leadership teams. The Manager of Ambulatory Project Administration will be responsible for oversight and delivery of high quality, on-time, and on-budget projects. Performance in a fast-paced environment and capable of completing multiple tasks simultaneously. Liaison to providers in executing organizational objectives. Manage and lead project team to accomplish departmental and organizational strategic goals and objectives in the Specialty Clinics. Promotes growth and development of staff, serving as leader, mentor, and coach. The success of this position relies on excellent organization skills, communication, and attention to detail as well as the ability to adhere to deadlines. High level of professionalism, strong relationship management, and effective engagement skills are key capabilities for this position.

Essential Functions

Project Management and Collaboration:

  • Oversees comprehensive project plan by working collaboratively with project stakeholders to meet intended outcomes. Project plans will include: Scope, Schedule, Cost, Anticipated Outcomes, Organization and Communications, Staffing, Risk and Issue Management, and Change Management.

  • Collaborates with ambulatory leaders to identify and prioritize projects that align with strategic initiatives and division goals to enhance access to care standards, policies, and procedures.

  • Perform project planning. Create, build, and update project schedules, project charters, project plans, status reports, and work breakdown structures in collaboration with ambulatory leaders.

  • Supports the project planning process by providing insight on the clinical information systems necessary to achieve project outcomes.

  • Foresee potential barriers in projects and communicate accordingly.

  • Influence others and move toward a common vision or goal.

  • Integrate change management activities into project plan.

  • Identify and manage anticipated resistance.

  • Assists in the development of change management at the organizational level with project development, implementation, and reinforcement.

  • Organize and collate information on project status and activities into meaningful reports.

  • Assists in the development of policies and procedures in collaboration with Physician Practice Management Team, physician leaders, hospital management leaders, etc.

  • Serves as liaison with management and physician/faculty leaders regarding business plans and proformas. Assist with data collection and analysis, report preparation, report presentations. Reviews and verifies accuracy of data provided for reporting.

  • Leads team to meet objectives, outcomes, goals, timetable, and commitments, adhering to standards.

Provides leadership through effective written and verbal communication, multitasking, managing long-term and short-term project completion, identifying barriers, suggesting resolutions, implementing resolutions.

  • Collaboration with Centralize Scheduling to identify opportunities for efficiencies with project plans and training needs

  • Collaboration with IT to ensure efficient, accurate, timely implementation of project plans. Coordinate, prioritize, and participate in activities associated with completing assigned strategic projects or project task(s).

  • Develops and maintains project plan including activities list, timelines, and responsible person.

  • Plans and coordinates project scheduling, budgeting, and administrative tasks.

  • Sets deadlines, assigns responsibilities, monitors, and summarizes progress of project.

  • Monitor progress of tasks ensuring all deadlines are met as scheduled • Manage project activities including interfacing with project members and executive team to provide answers and direction.

  • Provide consultative advice to management and end users on project aspects

  • Thoroughly document requirements according to departmental standards and methodologies

  • Collects data, prepares reports and makes recommendations.

  • Determine skill set necessary and work with management in building project team

  • Provide management with status reports detailing status and timelines

  • Manage and execute all steps to close project which may include conducting meetings, completing project reports, and maintaining completed project file

  • Develop final report with findings and recommendations for management review

  • Create and track project plans to define phases of project, timelines, requirements, key stakeholders, and tasks required to accomplish project

  • Track and report the status of projects to leadership, directors, and executives

  • Identify project risks and solutions, provide recommendations

  • Escalate project issues/concerns to appropriate leadership

  • Facilitate project related meetings

  • Meet with new providers during on-boarding, annually, and ad hoc to review efficiency policies, efficiency metrics

  • Data metric collaboration build based on best practices

  • Data metric validation and rollout

Responsible for providing support for projects/initiatives with internal and external stakeholders: in identifying, developing, implementing, and evaluating clinical projects to enhance organizational quality, patient safety, and service excellence, assuming responsibility for creating/developing a work plan/implementation process, evaluation of the outcome, and communication.

  • Develops a work plan/implementation process that incorporates attention to detail, professional quality, and considers the broad impact on related systems.

  • Analyzes projects/systems impact on patient care, service excellence, finances, organization, and the work environment. Incorporates clinical standards, education, research, and benchmarking in developing and implementing quality clinical systems or projects.

  • Utilizes a systematic approach to analyze complex clinical data and information in collaboration with other health care disciplines.

  • Develops, leads, and integrates best practices across ambulatory, establishing positive working relationships to collaborate with key stakeholder across the organization. • Recognizes opportunities within the project plan to improve quality and safety by levering the capabilities of software applications and/or clinical information systems.

Manages and provides leadership to direct reports Personnel Management

  • Effectively recruits, hires, evaluates, develops and coaches staff to achieve desired outcomes.

  • Conducts employee performance management duties including completion and delivery of performance evaluations, setting goals, dissemination of information, addressing performance issues/routine correction actions, coaching and corrective action up to and including termination.

  • Delegates responsibilities to others, giving staff the authority, resources, and guidance to make decisions and accomplish tasks independently. Operational/Financial Management

  • Analyzes processes and procedures to make recommendations and/or decisions on guidelines

  • Applies business and management expertise to identify problem/opportunities, determine solutions, and measure results

  • Ensures compliance with established policies and procedure guidelines to provide efficient, optimized access to patient care

  • Oversight and leadership for ambulatory performance metrics

Education Qualifications

  • Bachelor's Degree from an accredited college or university in business Required and

  • Master's Degree from an accredited college or university Preferred

Experience Qualifications

  • Minimum 5 years’ experience in administrative project management Required

Skills and Abilities

  • Excellent oral and written communication skills

  • Excellent proficiency in Microsoft Word, Excel, Power Point, and Outlook

  • Excellent critical thinking skills and proactive thought processes.

  • High level of attention to detail and follow-up.

  • Ability to manage multiple concurrent tasks

  • Expertise in EPIC scheduling, and tools required.

  • Excellent organizational skills and multi-tasking abilities, strong prioritization abilities
