Job Description

Summary

The Document Strategy & Control Manager will represent the Veolia Water

Technologies & Solutions Services business unit in the management of company

documentation and records using electronic systems. This individual will lead the

development and implementation of the Services document management systems and

related processes. Create policies and procedures that aid in capturing, storing,

retrieving, sharing, and enforce retention policies. This position will focus on the

Services operations and maintenance contracts, capital project delivery, internal

process and procedures, standard templates, and all other applicable reference

documentation.

Key Responsibilities

1. Document Management Strategy:

  • Develop and implement a comprehensive document management strategy aligned with the organization's goals and regulatory requirements.

  • Establish policies, procedures, and guidelines for document creation, review, approval, distribution, storage, and retention.

  • Collaborate with cross-functional teams to ensure the document management strategy meets their needs and requirements.

2. Document Control:

  • Oversee the document control process, ensuring proper versioning, tracking, and access control for all company documents.

  • Implement and maintain a centralized document repository or document management system.

  • Coordinate the review and approval processes for critical documents, ensuring compliance with internal and external regulations.

3. Training and Compliance:

  • Develop and deliver training programs to educate employees on document management best practices, policies, and procedures.

  • Monitor compliance with document management policies and procedures, and address any deviations or non-conformances.

  • Collaborate with legal and regulatory affairs teams to ensure adherence to relevant laws, regulations, and industry standards.

4. Process Improvement:

  • Continuously evaluate and improve document management processes, leveraging technology and industry best practices.

  • Identify opportunities for process optimization, automation, and streamlining to enhance efficiency and productivity.

  • Collaborate with IT teams to implement and maintain document management systems and tools.

5. Reporting and Analytics:

  • Develop and maintain metrics and reports related to document management activities, including document lifecycle, storage, and retrieval.

  • Analyze data to identify trends, bottlenecks, and areas for improvement in document management processes.

  • Present reports and recommendations to leadership and stakeholders.

Qualifications

Required

  • College degree preferred, although related work experience will be accepted. Also accepted is a High School Diploma with 5+ years' experience in engineering, architecture, construction, and design/build document management or records management.

  • Excellent project or program management, organizational, and problem-solving skills.

  • Experience leading teams and demonstrated capacity to work collaboratively with cross-functional teams.

  • Experience with Google Workspace (formerly G Suite) and its document management tools (Google Drive, Google Docs, Google Sheets, etc.)

  • Excellent attention to detail

  • Strong analytical and data-driven decision-making abilities.

  • Excellent communication and interpersonal skills.

Desired

  • Process mapping

  • An understanding of engineering drawings, datasheets, specifications

  • Understanding of ISO documentation standards

  • Knowledge of other tools outside of Google (eg. PDF Editing software)

Salary Range: $50-75K CAD
