Description

A leading non-profit legal services organization is seeking a highly proactive and experienced Executive Assistant to support their Executive Director on a contract-to-hire basis. The Executive Assistant will play a critical role in both traditional administrative tasks and strategic initiatives, acting as the Executive Director’s right hand and leading efforts to streamline operations. The ideal candidate will have a minimum of 5 years' experience in an executive assistant capacity, demonstrated proficiency with technology, and strong decision-making and project management skills. This role is primarily remote, with the understanding that flexibility may be required to accommodate the Executive Director's schedule. Key Responsibilities:

  • Provide high-level administrative support to the Executive Director, including comprehensive calendar management, email correspondence, and travel arrangements.

  • Lead the management of the Executive Director's calendar, collaborating with the Chief of Staff to ensure strategic prioritization and efficient scheduling.

  • Manage email communication with discretion and confidentiality, ensuring timely and accurate responses.

  • Attend meetings, take minutes, and follow up on action items in collaboration with the Chief of Staff.

  • Facilitate document review and approval processes, coordinating with internal staff and external stakeholders.

  • Liaise with board members, donors, and other stakeholders on behalf of the Executive Director, maintaining a relationship-oriented approach.

  • Propose and implement new systems to enhance the Executive Director's efficiency and effectiveness in programmatic impact and fundraising.

  • Lead and manage project management duties, ensuring projects are completed on time and within budget.

  • Use MS Office and other technology tools to create and manage documents, spreadsheets, and presentations.

  • Perform additional duties as assigned by the Executive Director, with a focus on leading initiatives independently.

    Requirements

Qualifications:

  • At least 5 years’ experience in an executive support role, ideally supporting an Executive Director within a larger (100+ staff) non-profit organization.

  • Demonstrated ability to thrive in a highly dynamic, collaborative environment.

  • Strong technological acumen, including proficiency with GSuite, SharePoint, and OneDrive; ability to quickly learn new technology systems.

  • Excellent organizational skills and a keen attention to detail.

  • Highly self-motivated, with the ability to function effectively in a fast-paced organization.

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

  • Ability to use sound judgment to independently move work forward without guidance.

  • Creative problem-solving skills and the ability to juggle several critical and urgent tasks simultaneously.

  • Prior experience in project management, particularly in supporting new system changes or upgrades, is preferred.

  • Experience in a non-profit organization within the legal or policy space is a plus.
