POSITION SUMMARY

This important role will directly support the CFO, HR Manager and Leadership Team on various significant activities for Thruway, its owners and employees. As a key member of this team, this individual will need to maintain strict confidentiality as she/he will have access to information that is only known to a few members of the Leadership Team. To be successful, this individual must have a variety of skills, enjoy working on a variety of projects, and must be flexible with managing priorities. This job position will include the following functions below:

Assistance with Customer Contract Administration

Thruway has a continuous flow of customer contracts and documents that follow a process for editing, tracking and approval. This person will be responsible for the administration of Thruway’s customer agreement process, including initial editing of certain documents, tracking due dates, setting up communications to complete the documents and communicating with Thruway team members regarding required reporting (e.g., contract renewal dates, rebate tracking etc.). This person will be the point of contact for our General Managers to submit documents and information needed to organize and manage this process.

Human Resources (“HR”) – General Assistance

This person will support various HR initiatives at Thruway. Examples of responsibilities include scheduling of interviews, assisting with employee onboarding/offboarding action steps, tracking of quarterly performance evaluations, and assistance with general employee communications. She/He will also assist with creating reports for the Leadership Team to track applicable action items arising from HR initiatives.

Management Incentive Plans - Reporting and Tracking

Thruway maintains a variety of management incentive programs with various metrics. This person will assist with tracking, reporting and communicating the status of the various incentive plans, as well as coordinating with the payroll department to ensure the timely payout of incentives earned.

Meeting and Presentation Coordination

Thruway prides itself on having good communication within its management team and among our employees. This person will assist with the coordination of our Leadership Team meetings, Monthly Management Team meetings, Town Hall Meetings, including assisting with the preparation of the presentations and data required.

Monthly Sales Reporting

As a distribution company, analyzing customer sales and profitability changes and trends is an important process to maintain. This person will assist the CFO in gathering reports, data and summarizing findings to present to the Leadership and management teams.

Affiliate Reporting Assistance

In addition to its core business, Thruway has affiliated activities connected to the business (e.g. warehouse rental activities). This person would assist the CFO and his team in summarizing information to communicate to the shareholders for these activities.

Project Resource

Thruway is continuously improving and challenging its processes and procedures. This person will participate in assisting the CFO, HR Manager and Leadership Team with a variety of projects. As an example, Thruway has experienced significant growth and will be updating a variety of processes. This individual will assist the respective project teams in establishing and/or documenting the new processes.

Generalist

As one who will be assisting the CFO and HR Manager with their responsibilities, this individual will be a critical team member by helping to get priority projects completed which will result in responsive communications to our customers, employees and shareholders. Flexibility, confidentiality and trustworthiness are critical to this role!

REQUIRED COMPETENCIES & QUALIFICATIONS

This Individual must possess a positive attitude and excellent communication skills allowing for interaction with Thruway’s Leadership Team, management team, associates and in some cases, with customers. An associate’s degree in business, certification as an administrative professional or the equivalent education and work experience is required. Additional skills include:

  • Ability to maintain confidentiality with access to sensitive information

  • Excellent organizational skills

  • Proficient computer skills and competency with MS Office Suite (Word, Excel and PowerPoint)

  • Ability to learn reporting aspects of our HR information and ERP systems.

  • Good judgment, integrity and ethical standards

  • Self-motivated, effective time management, and ability to quickly adapt to changing priorities

  • Accuracy and attention to detail

  • Good written, listening, verbal and interpersonal communication skills

  • Professional demeanor and appearance at all times

  • Notary Public (or commitment to obtain at Thruway’s expense)

  • Possession of Valid Driver’s License

    WORK ENVIRONMENT

  • Steady-paced and flexible office environment

  • Estimated to be sitting 80% of time / standing and movement 20% of time

  • Minimal overtime is expected
