Position Summary:

The DegreeWorks Specialist’s primary responsibility will be the maintenance of DegreeWorks and ensuring accurate Degree Audits through scribing, testing, and meeting with the relevant staff from each department.

Additionally, the DegreeWorks Specialist works closely with and seeks direction from the Manager of Information Systems. Working with the Manager of Information Systems, the DegreeWorks Specialist maintains and provides operational and strategic reporting which monitor and track KPI’s assessing the effectiveness of office operations and strategic reporting for senior administrators.

The Assistant Registrar also serves as the primary administrator for Degreeworks and Catalog in CRM and Student Systems and will implement Course Program of Study System (CPOS), which utilizes DegreeWorks to ensure Title IV compliance requirements.

The DegreeWorks Specialist works with the Manager of Information Systems in testing system upgrades, overseeing and planning the maintenance and enhancement of the student information system, including related interfaces and auxiliary systems used by the Office of the Registrar. The position works closely with NJIT’s Customer Relations Management and Student Systems (CRM and Student Systems) team to coordinate system testing and system upgrades and in overseeing effective change management processes to drive improvements in essential registrar services.

As a self-starter, the DegreeWorks Specialist is expected to exhibit a high level of creative program-solving ability and resourcefulness and is competent to work on very complex business process and IT services with minimal direct supervision; is capable of multi-tasking while meeting different deadlines; and work closely in a collaborative model with others members of the Registrar office, Student Information System and the Information Services and Technology division.

Essential Functions:

  • Degree Audit Management: Oversee the administration and maintenance of the Degree Works system, ensuring accurate and up-to-date degree audits for all students.

  • Collaborate with the Provost's Office and academic departments to review and update program requirements.

  • Perform scribing of NJIT’s academic offerings into Ellucian DegreeWorks

  • Perform testing of Ellucian DegreeWorks application to assure data integrity.

  • Train and provide guidance to faculty, staff and advisors on utilizing DegreeWorks effectively; leads the university’s transition to degree certification using DegreeWorks.

  • Establishes business processes and workflows for degree audit and graduation clearance.

  • Identify and resolve issues related to DegreeWorks, such as data inconsistencies, technical glitches, and system errors.

  • Work closely with the Information Services and Technology division and vendor support to troubleshoot and resolve technical issues.

  • Stay updated on emerging trends and best practices related to degree audit software.

  • Work with the Manager of Information Systems to ensure the integrity of records and registration data within the Banner SIS system.

  • Work to develop operational and strategic reporting in COGNOS and other reporting platforms that might be used.

Additional Functions:

  • Serves on internal and external committees as representative of the Registrar office.

  • Works closely with the University Registrar to coordinate the creation and/or updating of content on Registrar websites, web forms and social media.

  • Availability to work in evenings and weekends, including representing Registrar at on-campus events as assigned by the Registrar is required.

  • Contributes to the success of the Office of Registrar by assisting the Registrar in all other functions as assigned.

    Prerequisite Qualifications:

  • Bachelor’s degree in computer science, business information system or related field.

  • 3-5 years of experience with configuration and reports from enterprise information systems

  • A minimum of one year of experience in a Registrar's office or comparable higher education environment where technology support of or an enterprise student information system was the primary responsibility.

  • Experience in Microsoft Office Suite and the ability to independently create detailed documents, presentations, statistical reports, and research materials.

  • Proven ability to understand the crucial nature of data and its impact on the Registrar’s Office and the university as evidenced by performing duties in a proactive, strategic manner.

  • Excellent problem-solving skills, strong organizational and time management skills with accuracy and attention to detail.

  • Ability to effectively manage multiple competing priorities with tight deadlines.

  • Experience in enhancing business process and creating efficiency.

  • Availability to work in evenings and weekends, as needed and represent Registrar at on-campus events as assigned.

  • At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.

    Preferred Qualifications:

  • Master’s Degree in computer science, business information system or related field.

  • Prior experience with Ellucian Banner, Colleague or similar student database system.

  • 3-5 years of experience and expertise with query language.

  • Experience supporting Degree Works while advising on degree audits, completion requirements, or curriculum management.

  • Ability to troubleshoot technical and functional issues within the Degree Works system and provide training to employees and end users.
