A Brief Overview

The Document Imaging Specialist, under the leadership of the HIM Document Imaging Supervisor, will perform all aspects of the Document Imaging functions for legal medical records .The Document Imaging (DI) Specialist is responsible for document preparation, scanning, and indexing paper documents to accurately file in the electronic health record. Document Imaging specialist is also responsible work using automated workflows for point of care scanning This position is responsible for providing basic, routine maintenance of the scanning equipment The DI Specialist resolves problems with documents such as missing Medical Record Numbers, account (CSN) numbers, missing pages, and fixes document pages as needed and performs quality assurance of scanned records. The Document Imaging Specialist will perform all tasks within defined expectations for productivity and quality, to ensure the integrity of the legal medical record.

What you will do

  • Assists in researching and locating missing documentation or incomplete scans. Identifies and escalates non-approved forms to management immediately.

  • Maintains the scanning equipment and completes the scanner maintenance log.

  • Performs documentation preparation (repairing tears, removing staples, ensuring two patient identifiers on each page, etc.) scanning the paper record, and indexing the scanned image with the medical record number, and document type.

  • Works closely with other members of the HIMS team, IT, clinic staff, Patient Access, Patient Financial Services, Guest Services, etc. to ensure chart accuracy throughout all hospital systems.

  • Communicates, when necessary, with clinic personnel for proper and complete documentation and verification for placement into the Electronic Health Record.

  • Troubleshoots and corrects issues relating to misfiled scans, incomplete documentation, image quality, etc. Communicates errors to appropriate staff, as required.

  • Demonstrate critical thinking necessary to prepare documents for scanning, including the identification of documents that are not to be scanned, choosing the correct document type for indexing, and entering the appropriate descriptive information.

  • Utilizes various methods to verify provider, patient, or system information to determine the appropriate resolution and required actions for correction.

  • May also support testing, new versions, system upgrades, new applications, etc. to ensure accurate results with minimal impact to end users, key stakeholders, and functional areas.

Education Qualifications

  • High School Diploma or GED equivalent

Experience Qualifications

  • One (1) year progressively responsible and directly related work experience and basic medical terminology

Required Knowledge, Skills and Abilities

  • Ability to apply judgment and make informed decisions

  • Ability to communicate complex concepts in simple forms to cross-functional departments or teams

  • Ability to conduct analysis and formulate conclusions

  • Ability to foster effectively working relationships and build consensus

  • Ability to plan, organize, prioritize, work independently, multi-task and adapt to changing priorities

  • Ability to speak and write effectively at a level appropriate for the job

  • Ability to work effectively both as a team player and leader

  • Knowledge of computer systems and software used in functional areas

  • Knowledge of local, state and federal regulatory requirements related to areas of functional responsibility

  • Knowledge of new technologies (in specific fields) and maintain and stay abreast of updates and changes

  • Skill: possess critical thinking and investigation skills

  • Ability to accurately process other forms of documentation media which may include, but are not limited to, CD’s, email, electronic transmissions, portable devices, etc.

Base Pay Scale: Generally starting at $27.72 - $31.21 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
