Job Description

DeptW, the Publicis Groupe Walmart Power of One agency team, is looking to hire a Team Coordinator who is part problem solver, part gatekeeper, and part operational doer. They will partner with the DeptW leadership team and provide day-to-day support for up to three SVP Group Account Directors.

We are looking for someone who is interested in advertising and marketing and wants an untraditional way to grow within an agency or client organization. You will get a bird’s eye view of the industry and the benefit of the group leaders vast experience and network.

The DeptW team at Publicis Groupe is a collection of different agencies and partners all stitched together to service Walmart. Scale of business is large, and there is a core group of about 150 people across the team. The leadership team is looking for a partner that can help support relationship building internally and with clients, keep the work moving and help to build the culture of the team.

Day-to-day activities:

  • Oversee and support total of three SVP account leads on the team for all day-to-day needs

  • Proactively manage complex calendaring and scheduling conflicts both internally and with clients

  • Daily correspondence with clients and internal teams

  • Manage complex travel arrangements

  • Manage and coordinate meetings with internal teams and clients including: scheduling, booking conference rooms, ordering food, set up and clean up

  • Schedule and coordinate external client meetings as needed

  • Produce accurate and timely expense reports, follow up to make sure submitted expenses are paid in a timely manner

  • Respond to phone calls/texts, maintain contact as needed with team when they are out of the office/traveling

  • Manage assigned meeting, training and group calendars

  • Assist with projects and tasks as needed

  • Provide coverage for other assistants when necessary

Team culture:

  • In partnership with DeptW team leadership and culture lead, help implement and foster team culture through events and communications

  • Ensure on-time, and on-budget execution of social events and continuously look for new ways to create an engaging culture and add/edit as you see fit

  • Manage, organize, plan and cater client and new business meetings for the team incorporating personal touches that set us apart from other agencies/experiences for our clients

  • Help arrange and communicate all agency training sessions with leadership team

  • Deliver clear, timely and comprehensive communications to the team, as needed

  • Assist with the prep and set-up of bi-weekly DeptW team meetings and agency town halls including deck prep, set-up, invite and all communications

Qualifications

  • Minimum of 4+ years of experience supporting high-level executives in a fast-paced environment supporting multiple individuals

  • Exceptional work ethic with a proactive mindset

  • A team player, someone who is keen to get involved and knows that there is no task too big or too small to accomplish

  • Strong problem-solving skills and the ability to anticipate and resolve issues before they come up

  • Ability to multitask and prioritize conflicting demands while staying organized

  • Strong interpersonal, verbal and written communication skills

  • Professional and calm under pressure

  • Ability to thrive in a fast paced and demanding environment – addressing every task with a sense of urgency

  • Ability to build a strong relationship with the team and our clients. Highly personably, genuine, and outgoing

  • Proficiency with Microsoft Office, Outlook Requirements
