Job Description

Adult Protective Service (APS) is mandated by the State of New York to provide social, legal and protective services to individuals 18 years of age and older, who because of mental or physical impairments are unable to meet their essential needs for food, shelter, clothing or medical care, secure benefits and entitlements or protect themselves from physical or mental injury, neglect , maltreatment, or financial exploitation; are in need of protection from actual or threatened harm, neglect or hazardous coordination; and have no one available who is willing and able to assist them responsibly.

APS establishes appropriate safeguards to protect a given individual's resources, safety, or health, and stabilizes the situation. APS ensures that medical and psychiatric services, eviction prevention, financial management, home care, legal services and as last resort, institutional placements are provided.

The Adult Protective Services is recruiting for one (1) Clerical Associate III to function as the Secretary to the Director in APS Manhattan South Office who will:

Under the direct supervision Director, with some latitude for independent judgment, the Clerical Assistant performs clerical and administrative duties of moderate difficulty. The Clerical Associate is responsible for ensuring the accuracy of the unit's statistics as well as establishing and maintaining a filing system of required records, correspondences, reports, and tracking systems in order to ensure ready availability. Additionally, the Clerical Associate retrieves and screens all incoming calls to the Director and sorts and logs mail to the Director within a timely manner and may develop and deliver interoffice memos regarding DVPHA and DOPIS.

-Implement and maintains a filing system for required and confidential records, reports, and correspondences regarding the unit and staff to ensure ready availability to the Director and upper management; tracks and flags due dates for actions concerning case closings, pending and transfer cases, etc. via multiple computer programs.

-Arrange the Director's appointments, conferences, conference calls, emergency meetings, and travel arrangements with all levels of staff via a computerized calendar; Retrieves and screens all incoming calls to the Director and forwards detailed telephone messages received during the Director's absence.

-Audit clerical controls of the multiple undercare units to assure compliance with administrative procedures and accuracy of unit statistics.

-Manage the efficient receipt, screening, sorting and logging of incoming mail to the Director and appropriate staff, when requested and if necessary.

-Assess the priority of incoming mail and telephone calls and routes appropriate mail and urgent telephone calls to the Director for perusal and action.

-Develop and circulate information pertaining to DVPHA and DOPIS via e-mail and interoffice memos to the Director's subordinate staff and handles routine correspondence in order to alleviate the Director's workflow.

  • Assist in the preparation and collation of monthly and quarterly reports for disbursement to upper management; prepares files and transmittals for audit through the retrieval of requested documents.

-Develops and circulates information pertaining to DVPHA and DOPIS via e-mail and interoffice memos to the Director's subordinate staff and handles routine correspondence in order to alleviate the Director's workflow.

  • Assists in the preparation and collation of monthly and quarterly reports for disbursement to upper management; prepares files and transmittals for audit through the retrieval of requested documents.

-Consult with the Director when problematic situations arise such as office system malfunctions.

Salary Range: $ 40,957-47,100

Work Location: 109 East 16th St New York, NY 10003

Hours/Schedule: 9:00am-17:00pm (Monday – Friday) Flex

Qualifications

Qualification Requirements

A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

Skills Requirement

Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
