What this job involves
As an Brokerage Assistant, you will be responsible for handling a wide range of administrative and executive support related tasks and will be able to work independently. This person must be especially well organized and flexible. The ability to interact with people (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with an elevated level of professionalism and confidentiality is crucial to this role.
Provide full executive support to a brokerage team representing them to the public through personal, telephone, and electronic communications.Responsible for full interaction with the team for all aspects of their business. Includes managing their day-to-day business, interaction with their clients and interaction with their JLL colleagues.Email management including detailed follow upConstantly improving process and proceduresFull calendar management and schedulingClient relationsOver time developing a full understanding of the executive's businessManage expense report preparation, submission, tracking status in PeopleSoft.Prepare and edit correspondence, communications, presentations, and other documents.Prioritize and manage multiple projects simultaneously and follow through on issues promptly.Coordinate travel arrangements.Client event/meeting planning and ad hoc events.Responsible for being liaison to internal departments on behalf of executive i.e., Research, Marketing, Finance etc. for client requests
Interested? An ideal candidate would need to have the following qualifications:
Required
0-2 years of administrative support experience supporting executive level leadersProficiency in MS (Microsoft) Windows and Office (Word, Excel, PowerPoint, and Outlook)Excellent computer and typing skills
Preferred
Experience with Adobe Creative Cloud (InDesign, Illustrator, Photoshop)An associate degree, or higherProblem solver and pro-active thinkerKeen ability to connect the dots, and anticipate the needs of the executive in advanceAbility to do in person/on the phone dictationHighly motivated; with a capacity to multi-task in a fast-paced environment
