Robert Half Receptionist in New York, New York

Description We are offering a contract to hire employment opportunity for a Receptionist role in the bustling city of New York, New York. This position is within the telecom provider industry where you will be the first point of contact for our company. Your key responsibilities will include managing the front desk, handling guests, and coordinating internal operations.

Responsibilities:

• Manage the front desk, including welcoming visitors and directing them as necessary.

• Enter guests into the security system and ensure their smooth transition into our premises.

• Handle incoming calls, answer inquiries, and transfer calls to the appropriate department.

• Order business cards and other office supplies as required.

• Book conference rooms for meetings and ensure they are well-prepared for use.

• Process invoices, ensuring all financial records are kept accurately and up to date.

• Utilize the MS Suite (Outlook, Teams, Excel) for various administrative tasks.

• Provide excellent customer service, maintaining a personable and friendly demeanor.

• Perform data entry tasks and organize files for easy accessibility.

• Schedule appointments and manage calendars to ensure smooth operation.

• Carry out other Receptionist duties as required to support daily office operations.

• Handle vendor invoices and ensure they are processed in a timely manner.

• Reserve conference rooms for meetings and other company events. Requirements • Proficiency in answering multi-line phone systems

• Strong customer service skills

• Experience in data entry and email correspondence

• Interpersonal skills to communicate with staff and clients effectively

• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience in organizing files and maintaining organized workspaces

• Ability to schedule appointments and manage calendars

• Familiarity with standard receptionist duties including greeting guests and handling deliveries

• Experience in processing vendor invoices

• Ability to reserve and prepare conference rooms for meetings

• High school diploma or equivalent required

• Strong attention to detail and multitasking abilities

• Excellent verbal and written communication skills

• Ability to work in a fast-paced environment and prioritize tasks

• Must be reliable, punctual, and professional

• Previous experience in a similar role is preferred.
