Position: Project Management Associate, OXO

Department: Marketing

Work Location: New York, NY, Hybrid (work 3 days onsite)

Hybrid Schedule: Helen of Troy associates enjoy the advantages and flexibility of a hybrid working model, allowing for in office 3 days minimum, and remote 2 days. Any changes to this working model would be communicated accordingly.

What you will be doing:

The Project Management Associate must be comfortable working collaboratively with internal and external stakeholders and must represent the Marketing team confidently. They must understand the strategic role of branding and how to manage execution across omni-channels, have superior organizational skills, impeccable attention to detail, and a mastery of schedule management.

The successful candidate will have the ability to thrive in a deadline driven environment, have a flexible management approach and remain agile to support business goals. They must be detail oriented and a self-starter with a proven track record of effectively driving cross-functional teams to complete projects on time. They're able to supervise, analyze and extract stats and report on resources and project outcomes. The ability to balance diplomacy with keen negotiation and leadership skills is essential.

  • Own the full project life cycle from intake to delivery, and act as the primary source of contact for the marketing team and cross functional partners.
  • Intake and evaluate new project requests, assessing brief and level of priority.
  • Ensure the work of the team is in-line with business goals and priorities.
  • Lead the development of project timelines via project management programs and facilitate cross-functional team alignment to ensure prioritization and clear communication with key stakeholders.
  • Actively review and discuss prioritization with the project and creative production team.
  • Collaborate with design, copy, product marketing, and regulatory teams.
  • Lead and supervise project progress daily to ensure projects meet commitment and brand standards.
  • Facilitate meetings and design reviews, collecting key ideas, decisions, issues, and action items in meeting notes.
  • Track + deliver project assets in a timely and accurate manner.
  • Facilitate the delivery of all information and assets needed for the project process.
  • Maintain project management program and templates, Asana or similar.
  • Partner with Associate Director, Brand Design Management on team resourcing.
  • Handle resource allocation to ensure the successful delivery of multiple projects, on time.
  • Develop timelines based on resource skills and capacity.
  • Keep the team on track using exceptional communication skills and creating clear process documentation.
  • Lead all studio schedule meetings to preview upcoming projects, timelines and resourcing.
  • Analyze project and resource dashboards to help find opportunities for resource needs or improvements.
  • Partner with cross-functional teams to develop project scopes, roadmaps and timelines.
  • Lead communication with internal and external teams to ensure a great working relationship and project process and workflow are being followed.
  • Communicate regularly with key partners, including (but not limited to) Marketing, Product Development, Go-To-Market, Sales and APO to confirm opportunities, priorities, and retail timing needs.
  • Facilitate resolution and partner alignment on conflicts of priority, timing, design, etc.
  • Use clear, effective, and open communication to strengthen team relations.
  • Analyze metrics and recommend process improvements to improve productivity, streamline processes and maintain an efficient and effective workflow.
  • Proactively identify and make recommendations to solve for problems, roadblocks, and/or bottlenecks
  • Efficiently maintain, identify and implement new processes, systems, and tools to support Marketing. Navigate sophisticated processes and lead others in improvements
  • Maintain process documentation for Marketing.
  • Partner with Associate Director, Brand Design Management to handle financial process for all project-related invoicing, billing and expenses
  • Maintain budget and quotation history to ensure department expenses are within predetermined budget.
  • Compile project SOWs and acquire estimates and negotiate costs from vendors.
  • Report on budget tracking regularly and flag any overages/underages accordingly


Skills needed to be successful in this role:
  • Validated experience handling end-to-end creative process from kick-off to execution of creative marketing projects
  • Validated experience working cross-functionally with diverse set partners from internal, external, and/or international business functions
  • Validated experience collaborating in a fast-paced, deadline driven environment
  • Validated experience as a self-starter with exceptional communication skills


Minimum Qualifications:
  • Bachelor's Degree
  • 3+ years in related experience in Project Management or Account Management
  • Microsoft Excel, Word, Powerpoint, Outlook Proficiency
  • Experience of Project Management Software (e.g. Smartsheet, Asana, Basecamp, Slack)
  • Authorized to work in the United States on a full-time basis


In New York City, the standard base pay range for this role is $72,395.66 - $108,593.49 annually. This base pay range is specific to New York City and may not be applicable to other locations. Actual salaries will vary based on several factors, including but not limited to location, experience, skill level, and performance. The range listed is just one component of the total compensation package for employees.
