The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Office of Student Affairs at Columbia Business School (CBS) supports the academic and community experience for MBA, Executive MBA and MS students by creating an inclusive environment in which all students feel a sense of belonging, agency and partnership in co-creating their optimal student experience. The Office of Student Affairs is composed of four teams that work collaboratively to enhance the student experience: Academic Advising and Student Success, Student Life and Engagement, and Programs, and Events, and Operations and Student Services.

Reporting to the Director, Operations and Student Services, the Program Coordinator provides administrative support to the Office of Student Affairs. The Program Coordinator serves as the greeter for all student and other guests to the Office of Students Affairs. The incumbent implements policies and procedures to reach operational goals; exercises good judgment, decorum and discretion in communications with all levels of the University Faculty, administrators, students, and external constituents, as appropriate. The Program Coordinator assists with the day-to-day operations of the front desk, including assisting students with questions and concerns. The Program Coordinator will also assist on special projects as needed.

Responsibilities

  1. Greets students and visitors, answers questions with an emphasis on customer service and student satisfaction. Directs inquiries to appropriate team members of Academic and Student Life teams or to other stakeholders within the school.
  2. Works collaboratively with the other front desk staff to cover day-to-day office duties such as directing incoming calls, name badges/nameplates, general inquiries to the OSA email account, handling correspondence, mail, and other general office duties. Handles all in-person telephone and electronic mail interactions in a highly professional and diplomatic manner. Tracks inquiries to ensure that follow-through has occurred.
  3. As a member of the Office of Student Affairs, the Program Coordinator attends team meetings, supports the functions of the team, and assists with event planning and note taking tasks. Assists OSA at orientation and graduation and other special events.
  4. Assists students with questions and concerns by utilizing the School's registration system to handle queries regarding course enrollment.
  5. Assists the Director with logistics for large scale events, including room booking and catering.
  6. Utilizes the Business School's and University's registration systems (Course Match, Canvas, SSOL/Vergil) on a regular basis as needed. Maintains familiarity with the business school's Event Management System.
  7. Provides assistance with absence tracking and video recordings working with our counterparts on the Canvas team and Multimedia Group. Assists Academics team and students with exam administration support by handling all exam reschedules to ensure timely completion.
  8. Maintains familiarity with FERPA regulations along with Business School and University resources and policies.
  9. Performs additional responsibilities as assigned.

Minimum Qualifications

  • High school diploma or its equivalent required. A minimum of 3 years of related experience required.

Preferred Qualifications

  • Bachelor's Degree preferred. Team-focused individual. Experience in higher education preferred.
