Practice Coordinator
Radiology & Imaging
Full-Time
Overview:
Provide full administrative support to the attendings and department integrating a diverse range of responsibilities, fulfilling the roles of an administrative assistant, research coordinator, and patient coordinator to facilitate the efficient, effective and organized operation of the department.
Reporting to the Associate Director, Practice Operations and Administration and working closely with physicians and managers to assist with the day-to-day operational activities and various projects in the department ensuring the highest level of customer service delivery, practice support and patient confidentiality.
Responsibilities:
Provide administrative support to the attendings and department. Administrative responsibilities may include the following:
Screening patient calls and emails, and helping to address questions and concerns, sometimes of a complicated and sensitive nature
Calendar management utilizing Outlook for scheduling conferences, seminars, travel and association memberships; ability to update CVs and publications/manuscripts
Maintains required files, records and reports on an ongoing basis
Organizes major meetings including distributing materials, arranging for refreshments, and transcribing minutes
Preparation of response to compliments and complaints regarding department staff (both from patients and additional HSS departments)
Transcribing dictated manuscripts, patient reports, and reviews, taking care with the appropriate scientific and clinical language
Prepares and develops agendas and presentations for meetings to support practice operations; coordinates meetings with participants
Supports Vice Chairman, Director of Spine Imaging and Director of MR Neurography for all patient and project-related activities:
Coordinates meetings and distributes materials related to Information Technology efforts
Helps coordinate stat/add-on cases for MR imaging and/or interventional procedures
Prepare and review monthly reports including referrals
Possess a working knowledge of scientific language and the scientific process in a clinical and basic science setting, as well as the ability to assimilate complex language specific to MSK orthopaedic imaging, information technology and interventional radiology.
Provides comprehensive support for senior leadership; prioritizes and organizes essential tasks and streamline operational activities to the appropriate personnel.
Schedule events and meetings for outside vendors as well as various internal individuals and groups (in services, lunch and learn);
Assists directors in other related duties as required and assigned
Demonstrate flexibility and superb work ethic. Work as a team player, maintain an excellent rapport with colleagues, service departments, and follows procedures and guidelines set by leadership
Establish and maintain cooperative working relationships with other employees in Radiology & Imaging to facilitate carrying out instructions involving other departments, transmitting information accurately and tactfully
Qualifications
Minimum 3-5 years of experience working in healthcare administration
Bachelor’s degree required; Master’s degree strongly desired
Ability to prioritize and handle multiple tasks simultaneously, often under a deadline and in a fast-paced environment
Strong attention to detail, with excellent organizational and interpersonal skills
Strong customer service orientation
Present and maintain courteous and professional demeanor
Ability to work in a team and communicate effectively
Ability to independently resolve issues and handle unexpected challenges
Ability to adjust to changing situations, work assignments and work schedule
Ability to handle sensitive and confidential information with discretion is a must
Excellent verbal and written communication skills
Excellent computer skills; Knowledge of Microsoft Office, PowerPoint, Outlook and other office automation tools and systems
Pay Range - Minimum
USD $32.95/Hr.
Pay Range - Maximum
USD $38.45/Hr.
