Title: Office Manager

Program: Support & Connection Center

Salary: $61,000

Program Overview:

The Support and Connection Center (Center) provides 24/7 short stay, engagement, stabilization and treatment services for adults with mental health and/or substance use issues referred directly by NYPD as an alternative to the traditional police responses of arrest, summons, or transport to an emergency room. Guests are referred to the Center when their infractions are non-violent and/or low-level offenses such as loitering, trespass, public inebriation, and disorderly conduct. The goal of the Center is to help guests begin to identify and modify the behaviors that result in repeated police contact. An OASAS licensed outpatient clinic, located on site, provides services to guests who are eligible. The maximum length of stay is 5 days.

Essential Duties and Responsibilities:

The essential duties of the Office Coordinator include but are not limited to the following activities:

  • Understanding the space and limitations of the facility to maximize storage and clinical operations. Necessary to collaborate with maintenance, clinical, and operations staff to better understand daily tasks and desired effects of each respective department.

  • Maintain adequate inventory of office and client supplies, placing orders and monitoring office equipment.

  • Creating systems that track inventory of pertinent goods for maintenance, operations (RA’s), and clinical if necessary.

  • Devising discharge protocols focusing on items and property (guest locks, plastic bags containing guest’s items, clothing, etc.) and theories on expanding trauma-informed care to all aspects of non-clinical care.

  • Collaborating with maintenance and the clinical team regarding renovation and alteration of spaces to promote the most effective clinical, supportive, trauma-informed spaces possible.

  • Process petty cash, archiving invoices, and process timely submission of all check requests and other fiscally relevant documents.

  • Communicate with external partners, including building management to ensure all aspects of the Center are running properly and in proper standing.

  • Ensure all invoices, rent, and bills are paid in a timely manner.

  • Communicating all changes in current and prospective staff statuses in Ceridian Dayforce.

  • Communicating with prospective new hires and collecting paperwork, informing them of orientation, and following up.

  • Checking references for prospective hires.

  • Protect patient confidentiality in accordance with HIPAA guidelines and regulations

  • Other duties and special projects, as assigned by Director’s

    Qualifications:

  • High school diploma or graduation equivalency degree (GED)

  • Minimum one (1) year work experience in a medical office setting

  • Basic competency in Microsoft Office (Word, Excel)

  • Substantial telephone etiquette, verbal and written communication skills

  • Strong time management, multi-tasking, organization, scheduling skills

  • Strong customer service / relationship management skillsPreferred Qualifications

  • Associates Degree

  • Knowledge of clinical procedures usually obtained from a certificate or Associates degree

  • Knowledge of office procedures usually obtained from a certificate or Associates degree

  • Bilingual; fluency in Spanish a plus
