Situation Group Media Resource Coordinator in New York, New York
Situation, a digital-first agency building passionate communities for live experience-based clients like WICKED on Broadway and The Metropolitan Opera, seeks a Media Resource Coordinator to play a crucial role in managing media team workflows, processes and requests through the agencies task management platform, Asana. This role will report to the Media Specialist, Paid Social and will be responsible for processing requests, managing team workflows, enforcing SOP, reporting on team bandwidth and utilization and ensuring processes are being followed across relevant departments. The selected candidate will demonstrate a keen sense of attention to detail, will be organized, task focused and have the ability to develop, execute and optimize internal processes to create efficiencies.
What You’ll Do
This role will be responsible for processing media team requests, monitoring team utilization, ensuring internal processes are being followed, and helping leadership to develop and optimize internal processes to create efficiencies across the agency. They will regularly participate in the following activities in order to ensure success:
Deliver a weekly utilization report to leadership to aid in tracking team billability and bandwidth
Process and manage all trafficking, search and analytics request submissions within Asana
Assist in prioritization of media requests by reviewing priority deadlines and communicating bandwidth concerns with team leads
Enforce media, search and analytics SOPs to minimize rush requests whenever possible
Evaluate current processes in collaboration with the Group Director, Media Buying to create efficiencies between departments and increase profitability
Be a resource for task management tool support and training, including but not limited to:
Set up of new client ‘teams’ and ‘projects’ for new media clients
Assist with auditing media teams and projects within Asana monthly to ensure they’re set up and assigned correctly
Develop Asana dashboards to aid in team projections, reporting, forecasting etc. for Buying, Search and Analytics teams
Monitor media team deadlines within Asana and work to ensure timely cleanup of overdue tasks
Onboard new hires onto Asana and lead trainings for larger Media Team members as needed
Host monthly Asana office hours to support internal team members with questions and potential troubleshooting
Our office is located in midtown Manhattan and we are currently working in-office three days per week.
Sample Day-to-Day Responsibilities
Process incoming trafficking requests via Asana for Media Buyers and Search leads
Ensure all trafficking requests are tracking toward their assigned deadlines and follow up on any pending action items or missing components of each request
Report on team utilization and media allocations weekly and send associated reports to leadership team(s) for review
Create and manage Trafficking and Tagging jobs within Advantage and update budgets based on feedback from client service team leads
Manage, audit and optimize media projects within Asana to ensure every project is created correctly and that all tasks and deadlines are assigned
Requirements
At least 1-2 years of agency and/or related media experience
Highly organized self-starter with great attention to detail
Task / project management experience is a plus, but not required
