Robert Half Executive Assistant in New York, New York

Description We are in search of an Executive Assistant for our office located in New York, New York, 10001, United States. This role primarily involves providing support to two consultants in our team, ensuring smooth daily operations in a hybrid working environment. It's a contract role with a focus on calendar management, meeting coordination, expense management, travel arrangements, and other job duties as required.

Responsibilities:

• Manage calendars for the consultants, ensuring all meetings, appointments, and events are accurately scheduled and timely reminders are sent out.

• Coordinate meetings, including setting up meeting rooms, preparing necessary materials, and ensuring all participants are informed.

• Handle expenses, including tracking, processing, and reconciliation of all expenditure.

• Assist in the creation and modification of presentations for meetings.

• Organize client dinners, ensuring all details are meticulously planned and executed.

• Coordinate both domestic and international travel arrangements, working closely with the travel department.

• Utilize software tools such as MS Office 365, Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, Documentation, International Travel, Coordinate Travel Arrangements, and MS PowerPoint.

• Perform other job duties as required, demonstrating flexibility and adaptability in responding to changing demands. Requirements • Proven experience as an executive assistant or similar role for a minimum of 3 years

• Proficient in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time

• Capable of managing calendars and scheduling appointments and meetings

• Able to coordinate travel arrangements, including international travel

• Excellent skills in correspondence and documentation

• Familiarity with C-Suite level support

• Proficient in MS PowerPoint

• Strong capability in managing and maintaining schedules for meetings

• Ability to handle confidential information with discretion

• Excellent organizational, problem-solving, and communications skills

• Ability to multitask and prioritize daily workload

• High level verbal and written communications skills

• Discretion and confidentiality

• Bachelor's degree or equivalent experience in a related field is desirable.
