The Event Services Manager role will spearhead all special event requests. Coordinate efforts with, Special Event Coordinators, Executive Chef, and Food and Beverage Manager to properly meet the needs of the account. They will be responsible for assisting the Sr. Experience Manager to overseeing the day-to-day operations of the NY and NJ client locations. This person will lead a team of event coordinators to, ensuring that the client receives exceptional service and that all administrative duties are carried out efficiently. This includes managing a team, implementing best practices, enforcing policies and procedures, monitoring, and analyzing performance data, and identifying areas for improvement. They are required to maintain excellent communication with the client and all other departments within LifeWorks.

COMPENSATION: The salary rate for this position ranges from $85,000 - $95,000, depending on circumstances including an applicant's skills and qualifications, certain degrees and certifications, prior job experience, market data, and other relevant factors. Additional compensation may include a bonus or commission (if relevant). This is Aramark's good faith and reasonable estimate of the range of compensation for this position as of the time of posting.

If hired, employee will be in an ?at-will position? and Aramark reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time AND FOR ANY REASON, including, BUT NOT LIMITED TO for reasons related to individual performance, Aramark or individual department/team performance, and market factors

Job Responsibilities

  • Performs day-to-day functions for curating and overseeing in-office programming between departments and ERG groups (HBCU Fellowship, TYKTWD, Intern programming, etc)

  • Develops in-office event plans and delegates planning duties (Fast Break, Surprise & Delights etc)

  • Participates in management team meetings, supports high level event planning and leads fastbreak planning calls?

  • Directly supervises operations including coordination of staff and rental equipment, 3rd party vendors, set-up, preparation, service, and breakdown of catered foods, beverages, and events of varying size and complexity.?

  • Manage conferencing/event needs and Workplace Experience (WPX) inbox management including room configurations, booking issues, client interference, guest registrations etc.

  • Oversee coordination of scheduled interviews, photo shoots, media, and office tours

  • Oversee executive location, VIP visitor coverage, and delegate upwards when needed

  • Creating and reinforcing daily structure for the team and help implement and hold team accountable to conference center manual, marcom strategy, and workflow

  • Liaison between WPX and café operations for events and programming

  • Private event management process workflow, liaison with catering department for planning costing and execution of details from planning process

  • Assists with coaching, and training opportunities for WPX associates

  • Coordinates activities with other internal departments and ERGs to build a strong client rolodex of connections and pipeline for programming

  • Collaborate with vendors and key service users within client organization

  • Facilitate external customer relations; represents Aramark and the client at all meetings and events, oversees?COI management, vendor agreements, document management

  • Ensures that appropriate sanitation, organization, and safety standards are met using checklists, hands-on supervision, and follow-up

  • Support all communications and marketing requests by reviewing or creating content

  • Develop opportunities for department team building events and trainings for positive team morale

  • Coordinate all aspects of assigned bookings to include, but not limited to, AV needs, Room Set-ups, Food & Beverage, Meeting Materials, Rentals, Billings, Parking, etc.

  • Immediately meet with the Client and verify that set-ups are correct. Ask if there are any last-minute changes. Check with the Client throughout the day.

  • Attend weekly & daily BEO meeting to review any changes in upcoming programs or special events

  • Maintain a high level of morale and cooperation

  • Use good judgment, common sense, and fairness in decisions with all team members

  • Up to and including any additional assigned duties by the Sr. Client Experience Director

  • Grow the event management side of the business by looking for opportunities for YOY on site events and offsite specials, proactive strategic sales mindset to filling monthly pipeline

This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling and/or extended, walking, and standing. This role may also require uniforms and/or usage of Personal Protective Equipment (PPE).

Qualifications

  • Bachelor?s Degree in Hospitality is preferred.

  • Minimum of one experience in event planning or meeting planning.

  • Able to work event based hours, including nights & weekends

  • Experience in customer service and food & beverage

  • Must have excellent communication skills
