PXP is looking to hire a talented Business Affairs Manager who has significant experience with usage rights, clearances, IP right, etc.

We have a strong preference for this person to work hybrid out of our offices in NYC (375 Hudson). We are open to considering US based, remote candidates who are a strong match.

Job Description

As Business Affairs Manager with a usage rights focus, you will be given the opportunity to create competitive advantage through developing our capability to track, negotiate (as needed), renew and manage talent rights, enhancing the agency’s ability to win, keep and grow clients while ensuring our contracts and usage rights are well managed and controlled. This includes, but is not limited to, creative review, origination and production negotiating/contracting, on-going management of talent usage (as needed), IP rights, actioning required finance procedures and overall project management across the region.

Since mitigating talent contract related risks is of utmost importance, you’ll influence operational efficiency and effectiveness in the space of business affairs and usage rights management with a keen focus on continual improvement – so that we deliver for our clients today and in the future. KEY RESPONSIBILITIES:

Creative and Compliance Setup :

  • Set up new campaigns and ensure that we are supplied with all the correct data for ongoing management.

  • Carry out rights checks where necessary to ensure that underlying music and talent rights are covered for specific client requirements.

  • Review scripts in early stages to advise on talent, copyright, and intellectual property risks, alongside agency counsel as needed.

  • Negotiate licensing and clearance of intellectual property rights for different sources including music, talent, voiceoverfonts (as needed), stock footage, artwork,and others, as needed.

  • Maintains relationships with stock houses and keeps agency up-to-date on policies and pricing pertaining to stock

  • Escalate to specialist Business Affairs hubs if applicable based on client and regional setup

  • Ensure that all deals are fully agreed, stored and tracked properly.

  • Work closely with account and production teams and become the key contact for any origination, adaptation or localisation queries relating to Business Affairs and 3rd party rights.

  • Manage & track talent rights across global and local productions in your hub.

  • Utilise specific trackers and specialist tech to generate reports on behalf of client – for rights expiry, costings etc.

  • Query and review primary factsheet information, investigating any errors/missing info and entering correct details clearly into our rights tracking systems.

  • Identify potential legal issues and interfaces with Agency legal counsel to resolve issues

Commercial Management:

  • Work alongside producersaccount team and project managers for timely bidding of projects (as needed) cost estimating and compliance with client’s guidelines, including approval of costs by external consultants, if required by clients.

  • Negotiate competitive quotes with a range of third-party suppliers and vendors

  • Review final estimates with account team and project managers and generate estimates where necessary using the agency systems.

  • Estimate Business Affairs related costs; compiling quotes of all in-scope rights’ costs and submitting for client approval, as needed.

  • Process any required purchase orders, invoices, and new vendor setups – liaising with billing and finance teams where required for further action.

  • Work closely with the hub and the accounts to track and manage utilisation of Business Affairs resources.

  • Constantly ensure we are charging for the work we do and managing our costs effectively.

  • Drive continuous improvement of the business affairs financial model, and the way pricing is presented and sold so that clients are happy with the value we deliver.

  • Advise on fees proposals, estimates and Statements of Work to ensure they are clear and accurate.

  • Works with cost consultants as required

Process Adoption & Optimization:

  • From brief to delivery, work in collaboration with the hub leadership team, to share lessons learned to ensure continuous optimization of our business affairs ways of working and alignment with the other hubs.

  • Own adherence to best operational and process practices among teams working on client accounts.

  • Remains current on industry and technological trends

  • Conducts monthly audits of assets for clients to ensure licensing is current, and manages renewals of talent contracts and assets licensing when necessary

  • Supports asset archiving and management of RFH's DAM

  • Serves as point person for font licensing and usage for RFH

Qualifications

  • 5+ years’ experience in an advertising agency or production environment working as a business affairs manager; a creative or production agency background is preferred.

  • Strong knowledge of IP rights including how to manage, negotiate and track acquisitions and extensions.

  • Effective influencing/negotiation skills to gain competitive quotes

  • Attention to detail must be second nature, extremely well organised with an understanding of the importance of accuracy in this field.

  • Project management experience involving numerous complex projects across different time zones and markets with a wide variety of professional relationships.

  • Excellent communication skills with the ability to convey complex information clearly and accurately to a range of stakeholders at all levels.

  • Comfortable making decisions based on the information ‘at hand’ and justifying these conscientiously and resolutely.

Additional Information

Compensation Range: $98,500 - $165,500 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
