Rising Ground Bilingual Administrative Assistant in New York, New York
Overview
The Passage of Hope Program provides temporary residential care and other supportive services to Unaccompanied Children (UC) who are under legal custody of the Federal Government. Working in collaboration with the federal Office of Refugee Resettlement, ORR, our program provides a safe and nurturing environment for youth in a Basic Shelter program located at our licensed residential facilities as well as a Transitional Foster Care program in foster homes in the Bronx, Queens and Westchester. In all programs, we provide therapeutic, medical and educational services, as well as other supports that youth need to achieve success through an array of strength-based and targeted interventions as we link them with family members and/or other sponsors in the United States. We want all children we support to move forward with their lives and thrive.
Responsibilities
Provide direct administrative support to the Case Management, Clinical and Education departments.
Provide direct oversight of the grievance process by tracking and managing grievances, ensuring proper follow-up and thorough documentation. Distributing completed grievances to the case management team for filing purposes. Conduct training and refreshers to staff as needed.
Conduct grievance education sessions for children in care every two weeks.
Provide direct oversight and support with scheduling psychiatric appointments with internal and external providers. Reach out to providers in the community to secure additional mental health resources as needed.
Provide director of Case Management and Clinical with support in scheduling and coordinating interviews for internal and external candidates as needed.
Prepare 30 Safety and Well Being call monthly report for Case Managers and Medical to input required data.
Alongside the Director of Case Management, complete the monthly case management calendar to ensure 7 day case management as required by ORR.
Place monthly supply orders for the Educational, Clinical, and Case Manager departments.
Prepare and coordinate with VP the interdepartmental quarterly audit meetings, prepare material, and assist with note taking during meeting.
Assist the clinical and case management departments with booking rooms for family visits, home studies, and meetings through Condeco.
Monitor and track seating distribution in all sites for the case managers and clinicians.
Manage email distribution lists and add and remove staff.
Arrange and set up meetings, ensuring all necessary materials and resources are prepared.
Other additional tasks as needed.
Qualifications
Bachelor’s degree is preferred.
At least two years of experience as an administrative assistant or office related work preferred.
Excellent verbal, written communication and organizational skills are required.
Bi-Lingual (Spanish/English) and cultural competence a must.
Must be proficient in Microsoft Office Suite
