JOB PURPOSE
Oversee all administrative duties for the 14th Street Y Aquatics department
SCOPE OF INFLUENCE
Partners with internal and external customers
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Job Function 90%
Act as the point of contact for internal and external clients
Answer and direct Aquatics department phone inquires
Deliver high level customer service to all participants of the aquatics program.
Assist in the preparation of regularly scheduled reports
Maintain established filing system
Assist in ordering office supplies
Maintain contact lists
Arrange and book private swim lessons
Other 10%
Attend staff meetings and trainings as required.
Perform special projects and other duties as assigned.
JOB REQUIREMENTS
Required Knowledge
Proven experience as an Administrative Assistant, Virtual Assistant (https://resources.workable.com/virtual-assistant-job-description) or Office Admin Assistant
Knowledge of office management systems and procedures
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
