Description We are seeking an Administrative Assistant to join our team in New York. This role is essential in our daily operations, providing administrative support and ensuring smooth running of the office. The industry we operate in is fast-paced, requiring someone who can keep up with various tasks in an efficient manner. This role offers a short-term contract employment opportunity.

Responsibilities:

• Reception duties, including fielding and transferring incoming calls, ensuring efficient communication within the office

• Handling office tasks such as filing, scanning, and typing, keeping the workspace organized and efficient

• Assisting the Property Manager with various tasks as needed, providing necessary support to management

• Maintaining daily balance sheets, ensuring accurate record-keeping

• Depositing checks at the bank and recording them in QuickBooks, managing financial transactions for the office

• Handling email correspondence and managing inbound and outbound calls, ensuring clear and professional communication with clients and stakeholders

• Using Microsoft Suite and QuickBooks for various tasks, demonstrating proficiency in necessary software

• Scheduling appointments, managing office schedules to ensure smooth operations

• Data entry duties, ensuring accurate and up-to-date records. Requirements • Proven experience as an Administrative Assistant or similar role

• Excellent skills in Microsoft Office Suite including Microsoft Word, Excel, PowerPoint, and Outlook

• Ability to handle inbound and outbound calls, providing exceptional customer service

• Strong data entry and typing skills with high accuracy

• Experience with QuickBooks software

• Proficient in managing email correspondence

• Capable of scheduling appointments and managing calendars

• Experience with scanning, filing, and organizing documents

• Ability to handle deposits and financial transactions

• Exceptional interpersonal and communication skills

• Problem-solving abilities and keen attention to detail

• Ability to work independently and as part of a team

• Strong organizational and time-management skills

• High level of discretion and judgement.
