Johnson & Johnson is currently recruiting for dynamic individual to join the team as an Administrative Assistant, to support the VP, Enterprise & Employee Experience Communication. This position is based in New Brunswick, NJ.

Per our J&J Flex Policy, the expectation for this position is to work in office 3-4 days per week and work from home 1-2 days per week.

The Administrative Assistant will possess strong interpersonal, administrative and project management skills to coordinate projects/tasks under the EEX leader’s remit. High-level interactions with senior leader assistants will be required. They will also be responsible for managing the team budget including PO’s, quarterly updates, year-end close and T&E as well as coordinating schedules, meetings, expenses, and travel arrangements. The candidate must be comfortable working in a complex, matrixed enterprise and have a bias for action in a rapid paced organization.

RESPONSIBILITIES/PRINCIPAL DUTIES (Essential Functions)

  • Executes deliverables on a daily, weekly, and monthly basis, including but not limited to:

  • Supporting the Enterprise & Employee Experience Communication Global Leader in creating and executing flawless administrative planning

  • Maintaining line of sight across all activities in the administrative plan, prioritize all tasks and activities, and track progress

  • Providing day-to-day administrative direction to ensure milestones, compliance risks and issues are captured, tracked, and resolved in a timely fashion

  • Heavy calendar management and meeting coordination in addition to travel arrangements and T&E reports.

  • Overseeing budget in partnership with GCA finance team, monitoring expenses, T&E tracker and coordinating contracts with vendors and agencies

  • Providing point in time reports on budget spend, T&E and purchase orders to support finance timeline and long-term planning.

  • Support the Enterprise & Employee Experience Communication Leader with ad hoc requests as needed

  • Plan team meetings, events and off-sites as needed

  • Proofreading and editing as needed.

Qualifications

EDUCATION/EXPERIENCE

  • A high school diploma is required; Bachelor’s degree in Business Administration, Communications or related field preferred

  • 5 years of administrative experience/project management/project coordination is required

  • 3 years of experience as an administrative assistant/project management/project coordination in a complex environment is required

Requirements:

The successful candidate will:

  • Be detail-oriented with experience managing a complex executive calendar(s).

  • Possess strong computer skills and experience with enterprise systems including MS Office, Concur, Ariba, aCREW, eMarketplace, Zoom, Teams, etc. Demonstrated proficiency with productivity tools and portal technology, including WebEx and SharePoint sites is required .

  • Demonstrate excellent problem-solving and judgment skills to independently complete projects and administrative duties, as well as anticipate executive needs.

  • Required to exercise sound judgment and discretion, independently assess, and resolve complex situations and shift priorities as the need arises.

  • Possess excellent oral and written communication skills

  • Manage confidential information in a professional and discrete manner

  • Able to coordinate multiple projects with overlapping deadlines and complete tasks autonomously

  • Must demonstrate flexibility, while maintaining sense of urgency.

  • Models positive, “can-do” attitude and Credo Values.

  • Position may require coordination of and attendance at events outside normal business hours.

The base pay range for this position is $59,850 to $96,600.

  • Vacation – up to 120 hours per calendar year

  • Sick time - up to 40 hours per calendar year; for employees who reside in the State of Washington – up to 56 hours per calendar year

  • Holiday pay, including Floating Holidays – up to 13 days per calendar year

  • Work, Personal and Family Time - up to 40 hours per calendar year
