Northampton County Clerical Technician 2 - Purchasing Department in Nazareth, Pennsylvania

GENERAL PURPOSE The Clerical Technician 2 -- Gracedale Purchasing performs clerical work and a variety of support tasks for the nursing home purchasing process.
SUPERVISION RECEIVED This position reports directly to the Nursing Home Materials Manager.
SUPERVISION EXERCISED This position is not responsible for the supervision of other employees.
ESSENTIAL DUTIES OF THE POSITION Provides exceptional customer service, effectively communicating with staff and vendors by telephone, email, or in person. Adequately resolves issues and tasks required or directs staff or vendor to appropriate party.
Orders office and beauty salon supplies.
Assists with unloading delivery trucks and placing items in their designated areas.
Picks orders to be delivered to different nursing home units.
Compiles supply usage reports for Nursing in preparation for cost reports submitted to the State.
Sends the Nursing Home Materials Manager the serial numbers for all capital items which get tracked by the Accountant.
Assists Maintenance with paperwork, filing, and running errands.
Tracks specialty mattresses/pumps and other equipment in the facility via an Excel spreadsheet.

REQUIRED MINIMUM QUALIFICATIONS
EDUCATION & EXPERIENCE- Completion of a high school, or general equivalency, diploma; AND
At least one (1) year of general clerical work experience, preferably involving purchasing tasks.
*KNOWLEDGE, SKILLS, AND ABILITIES * Basic knowledge of clerical practices and procedures, and the ability to use standard office equipment.
Basic knowledge of computers and computer software, including Microsoft Office and Excel applications.
Excellent communication and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain mutual comfort level while relating to a diverse clientele, both verbally and in writing.
Skill in gathering information from and providing answers to visitors, callers, vendors, residents, the public, and representatives from other offices both within and outside of Gracedale Nursing Home.
Excellent time management, prioritization, and multitasking skills, along with the ability to maintain sufficient flexibility to respond to immediate demands.
Ability to learn to utilize the necessary software specific to Gracedale Nursing Home.
Ability to establish and maintain filing and other recordkeeping systems.
Ability to preserve confidential and sensitive information.
Ability to maintain composure and tactfully handle sensitive situations.
Ability to establish and maintain working relationships with associates, other facility staff, residents, and their visitors.
Ability to read, write, speak, understand, and communicate in English to perform the duties of this position.
Ability to add, subtract, multiply, and divide in order to perform the functions of the position.
TOOLS AND EQUIPMENT Telephone, personal computer (including Microsoft Office applications and other specialized software), calculator, adding machine, fax machine, copy machine, scanner, and other office equipment, in addition to a hand truck and various hand tools.
PHYSICA DEMANDS While performing the duties of this job, the employee is frequently required to walk, sit, talk, or hear.
The employee must frequently lift and/or move up to twenty-five (25) pounds.

WORK ENVIRONMENT The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
While performing the duties of this job, the employee divides his/her time between office, supply room, or warehouse loading/receiving areas, and other locations as required while assisting Maintenance. The employee will be exposed to extreme heat and cold due to exposure to weather conditions at the loading dock and/or receiving areas, and working in storerooms, refrigerators, and freezers.
The noise level in the work environment is usually quiet while in the office, moderately loud in supply room areas, and moderately to abnormally loud in loading dock or receiving areas.
