City of Natchez Engineering Administrative Assistant in Natchez, Mississippi
PRINCIPAL PURPOSE OF JOB: Assists with the administration of the day-to-day efficient operations of Engineering Services Office of the Public Works Department.
SCOPE OF RESPONSIBILITY: The Administrative Assistant is responsible for performing a variety of administrative and clerical duties, following established procedures and requiring significant independent decision making, initiative & judgement.
ESSENTIAL JOB FUNCTIONS:
1.Performs various routine clerical duties, utilizing standard office equipment, to include: Greeting visitors; responding to incoming calls; taking and transmitting messages; keyboarding information; making photo copies; and faxing documents.
Prepares and processes a variety of routine correspondence, reports, information, paperwork, invoices, forms, or related information; maintains records and databases; and prepares standard reports.
Processes, receives, sorts and distributes a variety of correspondence and mail.
Files documents and labels alphabetically, numerically, or by other prescribed methods.
Completing and presenting MEMA and FEMA paperwork (during and after disasters).
Assists with public process for construction projects; prints and scans drawings as needed
Processes insurance claims relating to the department.
Assists in preparation for, response to and recovery from the impacts of a wide variety of disasters or emergency situations.
OTHER DUTIES:
Assists employees and customers with questions and problems courteously and promptly; proofreading and editing documents
Ordering all office supplies and supervising additional summer staff and or/hires
11.Other related duties as assigned by Director
QUALIFICATIONS: High School Diploma or equivalent (G.E.D); and 1 year administrative support or secretarial experience.
KNOWLEDGE SKILLS & ABILITIES:
1.The employee must have knowledge of customer service principles;
2.Modern office procedures, methods, and equipment; basic filing and record keeping;
3.English language, grammar, and punctuation; computers and related software applications.
4.Providing customer service; process information utilizing established procedures, using modern office equipment, maintaining records and files, monitoring work;
5.Communication, interpersonal skills as applied to interaction with subordinates, coworkers, supervisor, general public, etc. sufficient to exchange or convey information, to give and receive work direction.
PHYSICAL REQUIREMENTS:
Ability to sit at a workstation for extended periods
Occasional ability to lift, carry and put away parcels weighing up to 25 pounds
Normal physical mobility, which includes movement from place to place on the job taking distance and speed into account
Occasional extended work hours
