Job Summary and Qualifications

As a Vendor Resource Deficiency Management Lead is responsible for day‐to‐day operational activities as it relates to queue management in Horizon Patient Folder (HPF), McKesson Patient Folder (MPF), EPIC, Cerner and Expanse for deficiency management. The Lead prepares and provides deficiency management specific education based on audit outcomes and trends. The Lead also assists the VRM Manager with vendor management including monitoring processes and services for improvement, quality, trending/analyzing data, creating and presenting education, answering deficiency management questions, and account follow up/resolution.

What you will do in this role:

  • Assists in managing analysis vendor daily workflow (e.g., work queues/worklists, turnaround times, quality)

  • Actively participates in the review and improvement of processes and services

  • Routinely reports to the VRM Operations Manager on individual work accomplishments, problems, progress in mastering tasks and work processes, and individual training needs

  • Assists VRM Operations Manager in quality control monitoring and reporting

  • Assists in vendor training of new systems or work queues

  • Assists with communicating with Vendor team on workflow and/or process changes

  • Reviews and updates daily/monthly CAT file for internal tracking and review

  • Promptly reports issues or trends to the Operations Manager

  • Responsible for analyzing weekly/monthly VRM Error Log data to identify trends by vendor analyst that need to be addressed

  • Responsible for creating the VRM slide deck from the VRM Error log data to report out to the field monthly

  • Responsible for copying the HSC VRM error log data into VRM’s own Error log, sending out accounts to the vendor for RCA/AP responses and documenting returned RCA/AP on the log once received

  • Routes VRM Error Log appeals and appeal responses across HSC and Vendor Teams

  • Collates and presents quality trends and findings from the VRM Error Log to the VRM management team, Vendor teams, and Parallon stakeholders

  • Monitors and ensures vendor staff adhere with guidelines, policies and Rules and Regulations

  • Performs operational reviews of records as needed

  • Monitors and is the liaison of information from the Parallon HIM back office staff and the vendor, including but not limited to the error log, action plans, education and escalations

  • Assists with maintenance of the Analysis SharePoint site

  • Communicates as appropriate with the vendor staff and Parallon HIM back office staff to ensure proper account resolution

  • Answers deficiency management process questions from vendors

  • Prepares vendor agendas and facilitates meeting as requested for coverage

  • Leads projects and meetings as requested

  • Maintains good working relationships with the analysis vendor team

  • Completes all Company educational requirements

  • Practices and adheres to the “Code of Conduct” philosophy and the “Mission and Value Statement”

  • Other duties as assigned

What qualifications you will need:

  • Minimum of 1 year of Health Information Management (HIM) experience required

  • Experience in deficiency management preferred

  • Prior supervisory experience preferred

  • Proficient in Excel and Microsoft Office preferred.
