The Laboratory/Special Projects Manager is part of the Department of Chemistry in the College of Arts & Sciences at Vanderbilt University and is a key individual contributor responsible for assisting a faculty member(s) with project management and coordination activities related to laboratory research and service activities. Laboratory research management activities include leadership, coordination and performance of duties of a major research laboratory essential for ensuring success of the research enterprise. This position will assist with research project coordination, collaboration management, grant and publication writing and deadlines, budget establishment and accounting, pre and post-awards management, team communication and coordination, and other major functions either directly or in conjunction with PI. Service management activities extend to the local and national community with regards to serving various populations at the K-12 to higher education and public levels. This position requires project initiation and sustainability, assessing and developing processes, improving existing processes, new system implementation, administration and logistics involved in the successful outcomes of program events and overall project objectives. This position will interact with various clients within the University and across the United States including but not limited to University staff/faculty, program coordinators and directors, students in higher education and K-12, and teachers as well as professionals in the STEM workforce. This position includes administrative duties essential to moving forward the research and service agendas of the PI. This position does not have supervisory responsibility. This position reports administratively and functionally to the faculty member(s).
Chemistry is the intellectual home to over 250 students, post-docs, and faculty members working in a wide range of specializations, as well as the interdisciplinary fields of chemical biology, structural biology, molecular toxicology, materials chemistry, and nanotechnology. Close collaboration with the School of Medicine, School of Engineering and other departments within the College of Arts and Science-particularly the departments of biological sciences and physics--provides valuable opportunities to not only excel in the traditional disciplines of chemistry but also investigate the many ways that chemistry intersects with other fields.
Duties and Responsibilities:
Analyzes and implement processimprovements.
Evaluates processes and assistswith the development of new workflow models to improve effectiveness.
Assists with the implementationof a new project management system.
Handles intake of projectrequests from various team players and stakeholders.
Serves as initial point ofcontact for incoming projects, seeks out missing information andmaterials.
Establishes productionschedules and communicates those with appropriate stakeholders.
Secures price quotes andcommunicates details to vendors and team.
Develops work goals for thelaboratory consistent with institutional and departmental goals andpolicy.
May prepare laboratory workschedules.
Plans to achieve goals orestablish priorities.
Initiates changes or developnew policies, procedures and/or methods.
Helps laboratory to understand,share, and support the vision of the department.
Ensures the most effectiveoperation of the laboratory.
Develops laboratory guidelines.
Maintains procedures manual.
Assists with the production ofroutine to complex work of the laboratory.
Ensures financial resources areutilized effectively.
Indirect budgetaryresponsibility depending on laboratory, may prepare the budget forapproval by administration and monitor expenditures against the budget.
Laboratory ordering andrequisition handling.
Maintains personnel records,payroll reports for PTO and vacation, time sheets and assist withperformance evaluations.
Assures the development ofpeople through orientation and training programs and through workexperiences.
Assembles and compiles researchor service data for presentation and/or publication.
Assists in collaborativeresearch and service efforts with other faculty, program staff andcoordinators, institutions, and/or industry.
Serves as resource to teammembers concerning program problems/procedures.
Serves as a liaison with otherdepartmental and university administrators.
Contributes to aspects of grantand publication writing and help with submissions.
Administrative support for PIand duties necessary to move projects forward.
Profile of an IdealCandidate:
A Bachelor’s degree from anaccredited institution of higher education isnecessary.
At least five years of directlyrelated experience including project management isnecessary.
At least five years ofexperience in a deadline-driven environment isnecessary.
Direct background, experience,or strong familiarity with chemistry or related STEM disciplines ispreferred.
Experience with projectmanagement, educational outreach and student activities in K-12 or highereducation is preferred.
Proficiency in office softwaretools (e.g. Microsoft Excel, Word, PowerPoint) isnecessary.
Familiarity with Adobe CreativeSuite, specifically Photoshop, InDesign, and Illustrator ispreferred.
Attention to detail isnecessary.
Strong organizational andplanning skills are necessary.
Ability to articulate conceptsand policies clearly is necessary.
Strong oral and writtencommunication skills are necessary.
Experience in higher educationdata is preferred.
Ability to manage multipleprojects simultaneously and prioritize in order to meet projectdeadlines is necessary.
Superior project management andtime management skills is necessary.
Self-motivated andcollaborative with a positive and professional approach isnecessary.
Exceptional interpersonalskills with the ability to interact with individuals across the universityand outside is necessary.
