Job Summary and Qualifications

The Facility Management Services Coordinator will be responsible for operational activities of the FMS program. Responsibilities include product, parts & tools purchasing on behalf of the field technicians, tracking shipments, and ensuring payment is issued to vendors. The coordinator will be expected to mitigate issues as they arise, ensure the technicians have the tools necessary perform their duties, and assist with onboarding new employees. Duties include but are not limited to, placing or assisting with technology and uniform orders, coordinating onboarding schedule with division offices, and updating technology platform access. Communicating meetings and instructions to hiring manager, updating platforms/systems to reflect changes, and assisting with creation of new hire packets and role playbooks may be expected as well. . As part of operations, the coordinator will assist the fleet manager track vehicle allocation with onboardings/offboarding, and may also assist with scheduling maintenance, coordinating repair of minor and major damage, and oversee all third-party accounts related to fleet management. Serving as the point of contact for field employees, Other duties include creating reports for management teams on current spend, labor hours, and inventory management. The Coordinator should be well-organized, self motivated, able establish efficient workflow processes, and have strong communication skills. The coordinator will be working directly with the shared services field technicians and corporate management team to ensure the success of the shared services program.

What you will do in this role:

  • Responsible for tracking hire status and coordinate onboarding with hiring managers

  • Ensure all data points are up-to-date daily

  • Provide leadership with hiring updates weekly

  • Serve as primary point of contact for field employees through general inbox management

  • Perform field employee onboarding, including ordering uniforms, issuing fuel cards, and toll tags, as well as, ensuring delivery of laptops, iPads, and other tools.

  • Assist operations team with program development and initiatives

  • Administrative duties as assigned

  • Assist with placement orders for parts and/or equipment, tracking product from order placement to receiving when necessary

  • Ensure all vendors are paid in a timely manner and provide receipts or invoices to manager

  • Track product use at each facility using provided software, and reorder as needed to maintain inventory necessary for technicians to complete assigned maintenance and repairs

  • Assist with routine maintenance scheduling for vehicles during appropriate mileage based on service agreement

  • Mitigate minor issues including minor physical damage, breakdowns, windshield damage, etc.

  • Manage fleet accounts related to fuel purchasing, toll payments, and tracking software, including but not limited to, monthly invoicing, user management, and reporting

  • Assist with ongoing shared service program efforts, utilizing Engineering Central, and other software platforms to gather and analyze data as needed

  • Performs other duties as assigned.

  • Practices and adheres to the “Code of Conduct” and “Mission and Value Statement.”

What qualifications you will need:

  • High School diploma, or equivalent (GED), required

  • Associates or Bachelor’s degree (Supply Chain Operations), preferred

  • Healthcare knowledge is preferred.

  • This position requires the ability to work 3 days in the office and 2 days work from home.
