Summary

It is the responsibility of the Operations Coordinator to perform clerical duties within the branch to for Event Support. Work as support staff in the performance of administrative responsibilities for the supervisory and management team as directed.

Professionally interact with customers, team members, and third-party vendor/partner representatives to provide the highest level of service excellence and help drive operational success.

Assist in the capture of timekeeping data for personnel to be used for payroll processing.

This position will support our Event & Exhibit Services team. The position follows an in-person schedule working full-time in-office and/or show site based out of Nashville, TN.

Essential Duties & Responsibilities

  • Perform clerical and administrative duties in an office setting.

  • Use a variety of office software applications including but not limited to Word, Outlook, Teams, Excel, Box, Share Point ECS, and various applications for order entry and tickets processing.

  • Receives, sorts, edits, revises, distributes and prints work tickets across various operational departments and applications.

  • Creates new event and graphics files and helps maintain them throughout the event life-cycle.

  • Prints related TSS Orders, Booking Report files, and various graphics production tickets.

  • Helps develop and modify practices that improves document workflow.

  • Files and maintains show-related documents according to Freeman archiving policies

  • Prepare labels and tags for material bins and rental components for multiple areas

  • Operates office equipment such as printers/scanners/copies and helps ensure operational efficiency thru supplies replenishment and service tech callouts, as needed.

  • Coordinates the sign-in desk, badge issuance/retrieval, and other documents relative to our union labor call.

  • Helps to ensure manual or electronic timekeeping systems are accurate and functioning appropriately by engaging IT or payroll for problem remediation.

  • Assists payroll in the tracking of daily punches to ensure accuracy and completeness and works with them to resolve incorrect, missing, or invalid punches.

  • Assists in the preparation of weekly timesheets for payroll processing.

  • Assists payroll in the collection and completion of new hire paperwork, dispatches/referrals, and transfers.

  • Perform other duties as assigned.

Education & Experience

  • High School Diploma or equivalent required
