Vanderbilt University Learning Engagement Manager, Executive Education in Nashville, Tennessee

Position Summary:

The Learning Engagement Manager, Executive Education, is responsible for planning and delivering an assigned Executive Education program portfolio.

Entailing assignments from custom solutions and programs for individuals, involving in-person and virtual delivery, this role manages all operational aspects of assigned executive education engagements, including communications and logistics, and is responsible for extraordinary client service to deliver cost-effective programs efficiently. Responsibilities also include promotion of Executive Education solutions.

The role requires flexibility to work evenings, weekends, and occasional overnight stays as needed to support learning engagement deliveries.

The Owen Executive Education, established in 1991, offers open-enrollment, certificate, and custom education experiences for practicing managers in a wide array of industries and topics. Please Note: This position is deemed flexible/hybrid, expected to work at OGSM at least 3 days a week when not traveling for the role.

Key Functions and Expected Performance:

  • Oversees the complete lifecycle of designated executive education learning engagements, ensuring seamless execution and delivery.

  • Manages all learning engagement logistics, including participant registrations, communications, faculty scheduling, venue selection, transportation, learner accommodations, and technology setup.

  • Engages in class sessions, events, and program-related meetings, contributing to advancing the strategic goals of Vanderbilt University and the Owen Graduate School of Management.

  • Engages actively in key activities (meals, recreation, specific class sessions) within learning engagements to support operations and promptly addresses any issues.

  • Maintains comprehensive files on all assigned engagements to ensure smooth future deliveries, updating operational plans as needed.

  • Develops and manages each engagement’s learning portal (e.g., NovoEd), ensuring all materials and logistical information are timely and accurately posted.

  • Crafts and delivers pre- and post-program communications to participants, often customized and specific to the engagement and participant.

  • Makes strategic decisions to ensure quality and client satisfaction, delivering a program within defined cost parameters.

  • Manages Salesforce activity for each assigned engagement where necessary—maintaining an accurate roster, capturing payments appropriately, and producing post-engagement reports.

  • Completes the close-out process for assigned engagements, providing accurate information to the Executive Education Managing Director and Owen Finance and Administration team.

  • Owns the evaluation process for assigned engagements—proposing solutions and improvements for long-term program needs.

  • Serves as the key contact for custom program partnerships when requested.

  • Strengthens client relationships and overall satisfaction through exceptional program delivery and strategic partnerships.

  • Contributes to business development efforts by meeting potential clients and showcasing operational and delivery capabilities.

  • Promotes the suite of Executive Education solutions and programs to clients.

Supervisory Relationships:

This position does not have supervisory responsibility. This position reports directly to the Managing Director, Executive Education.

Education and Certifications:

A Bachelor’s degree from an accredited institution of higher education, or five years of relevant work experience is necessary.

Experience and Skills:

  • Minimum of 3 years but preferred 5 years of experience in event management, preferably in an education, training, or corporate learning and development environment.

  • Proven track record in managing complex projects and events with outcomes that exceeded client expectations.

  • Exceptional organizational and detail orientation with the ability to prioritize and manage multiple tasks simultaneously, remaining accountable for and aware of all schedules and deadlines.

  • Excellent communication and interpersonal skills, capable of working effectively with executives, educators, and corporate clients.

  • Strong service mindset and focus on helping others—faculty, staff, participants, vendors, and all other stakeholders.

  • Passion for collaboration and desire to thrive in a team environment with the ability to work independently in an unstructured environment when necessary.

  • Ability to work well under pressure.

  • Proficiency in using digital tools for program delivery and collaboration with a preference for the following platforms: Microsoft Office, NovoEd, Salesforce, Qualtrics, and Zoom.
