Vanderbilt University Assistant Director of Admissions in Nashville, Tennessee

Position Summary:

Serving the recruitment and selection needs of the School of Medicine’s Office of Health Science education at Vanderbilt University, the Assistant Director of Admissions will join the University’s Enrollment Affairs team. This position reports to the Director of Admissions for the School of Medicine, who is a member of the University’s Enrollment Affairs Leadership team. This collaborative partnership and innovative structure provides an ideal and dynamic environment to actively participate in the advancement of the partnership’s goals.

About the Work Unit:

The School of Medicine’s Office of Enrollment Services (OES) at Vanderbilt University is a critical unit within University Enrollment Affairs that contributes greatly to the entire Vanderbilt community. Its mission is to recruit, select, and enroll a diverse cohort of medical students who are intellectually curious, academically talented, and socially engaged. The Office consists of a team that includes admissions, financial aid, and student records. The Office communicates systematically with thousands of prospective students through traditional printed publications, the web, and other social media channels, and serves as the first point of contact for members of the public interested in VUSM.

Key Functions and Expected Performance:

  • Coordinate and supervise administrative detail and operations of admissions process to include applicant development, marketing communications, and data tracking.

  • Compile and analyze admissions data and develop reports related to tracking applicant status or other aspects of the admissions process for review by the Admissions Committee and other administrators.

  • Organize and implement admissions activities and application process in regard to interview day; maintain confidential electronic application folders.

  • Assist in the development of admissions programs such as mass mailings, orientation, campus visits, and student recruitment; develop standard correspondence and other printed materials for the admissions process.

  • Counsel applicants regarding potential for admission to medical school; instruct applicants and pre-medical advisors as to the admissions process; educate applicants regarding financial aid options and eligibility.

  • Plan and coordinate annual recruitment schedule; attend recruitment events at other colleges and universities; present workshops on the application process; plan and execute annual admissions related special events.

  • Recruits, selects, trains, and supervises the Medical Student Ambassador program.

  • The collaborative nature of Vanderbilt will allow the candidate the ability to work with various constituents across campus.

  • Perform other duties as assigned.

    Supervisory Relationships:

    This position does not have supervisory responsibility. This position reports administratively and functionally to the Director of Medical School Admissions.

    Education and Certifications

  • A Bachelor’s degree from an accredited institution of higher education is necessary.

  • At least 2 years of pre-medical advising, admissions, or medical education is preferred.

    Experience and Skills:

  • At least 5 years of progressively responsible admissions office experience is necessary, or comparable higher education experience.

  • As a salaried (exempt) position, ability to work weekends and nights is necessary, especially in key times of the recruitment cycle.

  • Strong interpersonal and communication skills are necessary.

  • The ability to work effectively with a wide range of constituencies in a diverse community is necessary.

  • Effective verbal and writing skills are necessary.

  • Strong public speaking skills, with comfort in front of audiences of 150+, are necessary.

  • Ability to travel independently up to 4+ weeks annually is necessary.

  • Ability to use independent judgment and to manage and impart confidential information is necessary.

  • Skill in the use of the AMP (or another CRM product), word processing, spreadsheet, and/or presentation software is preferred.

  • Organizing and coordinating skills are preferred.
