Ascension Health Administrative Assistant to COO in Nashville, Tennessee

  • Schedule: Mon.-Friday, 8am-5pm.

  • Hospital: Ascension Saint Thomas Midtown

  • Location: Nashville, TN

In this position, one will be responsible for timekeeping/PTO, scheduling, approving payroll and submitting monthly expense reports to the Chief Operating Officer. In this role one will also support directors and VP-Operations. You will be interacting with executives, directors, physicians, co-workers, hospital associates, visitors and vendors. Maintaining customer service when answering questions, and assisting the COO, VP-Operations and Associate Chief Operating Officer is vital to success in this position.

Responsibilities

Provide administrative support for assigned area(s) or program.

  • Prepare and distribute correspondence, forms, reports, presentation materials and other written communications as required.

  • Schedule and support preparation for meetings, conferences, programs and/or special events.

  • May compile and enter information from a variety of sources into computer database(s), verify data, identify issues and research or correct as appropriate.

  • Receive and screen visitors and telephone calls, and handles general inquiries.

  • Establish and maintain filing systems. Order and stock supplies.

Requirements

Education:

  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.

  • Note: Required professional licensure/certification can be used in lieu of education or experience, if applicable.
