We have an exciting opportunity for you as Receptionist / Administrative Assistant (m/f/d ) at our location in Munich , Germany.

The reception is the heart of the company, the warm, welcoming and caring service hub. You are the face of the company, you are the voice of the company, you are the first impression for all our visitors: customers, colleagues, suppliers and other partners. You have a vital position where you represent not only your respective facility but also the entire Boeing Company.

You are accountable for the reception and lobby; it is your area and responsibility to make sure that this is spot-less and well-taken care of in a professional manner.

First impressions last. Therefore, you will be a very important and key person at the Boeing office in your role as our new receptionist/administrative assistant. You will assist with arranging visits, meetings, conferences and other guest events. You will support all employees and help-out with other services such as needed.

By definition of the role and associated tasks, the role is 100% office based. We have a dress code at the reception which requires corporate clothing (navy-blue uniform expensed by the company). This role is for a full time position.

Main Tasks and Responsibilities:

• Provides reception and guest management services

• Answers and routes telephone calls

• Reserves conference rooms and workspaces

• Supports internal and external meetings and events

• Coordinates vendors for events, logistics, office maintenance and adhoc activities

• Assists in collection and organization of data for further processing

• Compiles data and posts information to various electronic information systems as needed

• Orders, distributes and stores office supplies, including stationary, kitchen and printer supplies

• Identifies and reports safety hazards, near misses and incidents

• Supports employee on- and offboarding

• Supports other administrative tasks as required

• Other areas of responsibility may evolve over time, including development opportunities in support of ongoing projects

Basic Qualifications (Required Skills/Experience) :

• Excellent written and verbal communication skills in German and English; English is the main working language.

• Demonstrates a high level of proficiency in MS Office, including Word, Excel, PowerPoint, SharePoint

Preferred Qualifications (Desired Skills/Experience):

• Graduate degree in administrative or secretarial studies

• Relevant work experience in hospitality or travel business or multinational company

• Ability to work both independently and collaboratively with different departments

• Team player with high energy, positive attitude, and dedication to first time quality and accuracy

• Demonstrates time management skills, an adequate sense of urgency and the ability to effectively manage multiple activities, prioritizing effectively

• Strong customer service attitude and willingness to walk the extra mile

• Highly responsive to urgent and emergent needs arising from the day-to-day activities

• Abitur (high school diploma), Fachabitur (technical diploma) or completed commercial training with corresponding background experience
