Proposal and Rankings Specialist

We are seeking aProposal and Rankings Specialistto join our Marketing & Business Development (MBD) team. In this role, you will collaborate with colleagues to drive two critical areas: managing the pitch and proposal process and overseeing rankings and awards submissions.

The ideal candidate will excel in project management, exercise sound judgment, and pay close attention to detail. Success in this role requires outstanding writing, editing, and proofreading skills, effective communication with a high level of professionalism, and a strong commitment to teamwork and customer service.

Your key contributions will include:

Proposals and RFPs:

Work with MBD team members and lawyers to create pitches, proposals, and responses to Requests for Proposals and accompanying client presentations:

  • Draft pitch, proposal, and presentation-related content under the direction of attorneys and in collaboration with MBD colleagues.

  • Work with MBD team members to create responses to Requests for Proposals and accompanying client presentations.

  • Develop and drive detailed work plans with key dates, deliverables, and action steps enabling timely review and updating of pitch and proposal content.

  • Work with MBD colleagues and attorneys to tailor and customize content and identify where gaps in content exist.

  • Work with other firm departments to update their relevant content including Legal Talent Management, Innovation, Pro Bono, Information Security, and other departments.

  • Be a key proponent of best practices in messaging, writing, style, and grammar.

  • Maintain tracking system for pitch and proposal activity and outcomes.

  • Become a “power user” of the firm’s proposal generation tool and serve as a resource to the MBD team members.

  • Maintain and update content in proposal generation tool, adding new content as developed.

  • Develop an understanding of content “library” and serve as a resource for MBD colleagues.

    Rankings and Awards:

Take a lead role in working with MBD team members and attorneys to coordinate rankings, legal directories, industry surveys, and award nominations for the firm, practice areas, and individual attorneys:

  • Coordinate and complete rankings submissions and secure key firm rankings, including Chambers, Best Lawyers, Super Lawyers, Legal 500, and others.

  • Maintain master rankings firm calendar, tracking key dates and deadlines.

  • Act as primary contact with rankings organizations.

  • Write content for award nominations and submissions in a compelling, clear, and concise manner.

  • Edit and proof own work, and review others’ work to ensure proper grammar, spelling, etc.

  • Collaborate with team members to ensure rankings are updated on the firm’s website and in the firm’s proposal generation tool.

May perform other work and initiatives as assigned by other MBD team members.

What we’re looking for:

  • Bachelor’s degree in business, marketing, journalism, communications, English, or related field.

  • At least 4-5 years of experience working in a similar position at law firms or other professional services firms (engineering, accounting, architectural, public affairs management, etc.).

  • Excellent writing skills and proofreading skills, with high attention to detail; emphasis on accuracy.

  • Ability to organize, prioritize, and manage multiple, simultaneous, complex marketing and business development projects.

  • Commitment to understanding the wide-ranging areas of law practiced by a full-service, international law firm.

  • Ability to negotiate individual, group, and firm-wide needs and interface successfully with multiple levels of team members (partners, associates, legal support and marketing business professionals).

  • Self-starter, resourceful, intuitive, and creative.

  • Drive and enthusiasm required to work and complete assignments with minimal error under tight scheduling deadlines in a team-oriented environment.

  • Customer-service orientation.

  • Knowledge of design and copy elements that make for persuasive documents.

  • Strong computer skills with proficiency in Microsoft Office suite and Adobe, especially PowerPoint, Word, and InDesign.
