About the Role: As a Project Coordinator, you will be responsible for supporting project managers and teams in the planning, execution, and monitoring of projects. You will play a crucial role in facilitating communication, coordinating project activities, tracking progress, and ensuring that projects are completed on time and within budget. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. Essential Job Responsibilities: Project Planning and Scheduling: Assist project managers in developing project plans, timelines, and schedules. Coordinate meetings, workshops, and other project-related activities to ensure alignment with project objectives and deadlines. Maintain project calendars and schedules, updating as necessary to reflect changes and milestones. Communication and Coordination: Serve as a central point of contact for project team members, stakeholders, and vendors, facilitating communication and information flow. Distribute project-related documentation, including meeting agendas, minutes, and status reports, and ensure that all stakeholders are informed of project updates. Coordinate with internal departments and external partners to gather project requirements, resources, and deliverables. Documentation and Reporting: Maintain project documentation, including project plans, risk registers, issue logs, and change control documents. Generate regular status reports and dashboards to provide project updates to stakeholders and project teams. Assist in the preparation of presentations and materials for project meetings and executive reviews. Risk and Issue Management: Monitor project risks and issues, escalating as necessary to project managers and stakeholders. Work with project teams to identify and implement risk mitigation strategies and contingency plans. Track and document changes to project scope, schedule, and budget, ensuring that changes are properly approved and communicated. Quality Assurance and Compliance: Support project managers in ensuring that project deliverables meet quality standards and adhere to project requirements. Assist in conducting project audits and assessments to identify areas for improvement and compliance with project management methodologies and standards. Collaborate with project teams to implement best practices and lessons learned from previous projects. Qualifications: Bachelor's degree in business administration, project management, or related field preferred; equivalent combination of education and experience may be considered. Experience in project coordination, administration, or related role, preferably in a project-based environment. Proficiency in project management tools and software, such as Microsoft Project, Asana, or Jira. Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines. Excellent communication skills, both verbal and written, with the ability to effectively interact with diverse stakeholders. Detail-oriented with a focus on accuracy and quality in documentation and reporting. Ability to work independently as well as collaboratively within a team environment.
