Description
We are seeking an Office Assistant to join our team in Minneapolis, Minnesota. This role offers a contract employment opportunity and involves a diverse range of responsibilities from handling reception tasks to managing the mailroom and assisting with facilities management tasks.
Responsibilities:
• Welcome guests and manage visitor registration software, ensuring all visitors are properly checked-in and out.
• Handle multi-line telephone system, directing callers to relevant personnel or voicemail as appropriate.
• Respond promptly and professionally to customer inquiries via phone or email.
• Maintain up-to-date information on the welcome board and receive deliveries, informing the relevant personnel of their arrival.
• Process outgoing mail, ensuring correct postage is affixed, and manage incoming mail from reception dock, sorting and delivering to the appropriate departments.
• Stay current with postal service regulations and assist employees with mailing and package shipping inquiries.
• Respond to employee requests using Microsoft Outlook and the online work order system, generating, assigning, and closing work orders as necessary.
• Assist with creating access badges for employees and contractors and handling any related issues.
• Provide administrative support to the Building Operations Manager and other department personnel.
• Maintain safety and security by complying with all policies, procedures, and regulations.
Note: This role requires skills in Microsoft Outlook, receptionist duties, basic office skills, and answering multi-line phone systems.
Requirements • Proficiency in Microsoft Outlook is expected.
• Must possess experience with Receptionist Duties.
• Basic Office Skills are required.
• Must have experience in Answering Multi-Line Phone System.
• Must have strong verbal and written communication skills.
• Ability to multitask and prioritize effectively.
• Strong organizational skills and attention to detail.
• Ability to work independently and as part of a team.
• Previous experience in a healthcare, hospitals or social assistance environment is advantageous.
• High school diploma or equivalent is required.
• Must be able to maintain confidentiality of sensitive information.
• Strong customer service skills are expected.
• Must be comfortable working with computers and learning new software.
• Availability during standard office hours is required.
