The department is responsible for the administration, operation and maintenance of reliable and efficient transportation services on the Twin Cities campus including transit, parking, fleet, streets, walkways and way-finding. PTS supports alternatives to the single-occupant vehicle and promotes programs to encourage the University community to walk, bike, carpool, or take the bus. The department handles compliance documentation for all University vehicles or licensed equipment and administers the fuel credit card, vehicle insurance and safety, and employee driver training programs. PTS Mission Facilitating safe and effective integrated transportation systems that provide services for pedestrians, bicycles, transit and vehicles. Responsibilities 35% Perform Event Operations Directs a work team of student supervisors during large events. Ensures that operational plans are executed according to the appropriate timeline. o Ensures parking facilities are staffed at appropriate levels and times. o Schedules and assigns additional on-duty staff (floats) o Posts and maintains event attendant schedules. Review schedules to identify prudent use of staff to maximize efficiency. Manages parking space to maximize revenue and service levels Perform daily tours of parking facilities utilized for events. o Ensure equipment is functioning properly. Resolve or report any issues. o Ensure that adequate supplies and tickets are available for operations. o Inform the Events Manager of problems, complaints, and unusual occurrences in the area. Provides exceptional customer service o Deal effectively with difficult customers to find the best parking solution for them or direct them to appropriate personnel or resources. Look for ways to improve efficiency and service levels. Operate and effectively use the department's technology including scheduler, electronic payroll and parking access control systems, supervisory reports in AS400, ticket tracking system, safe cash reconciliation system, over-short reports, Windows operating system, MS Office (Word and Excel), and other systems. 30% Supervise full-time (senior) and student parking attendants Supervise full-time and student event staff. Ensure that event staff is trained in customer service, are informed of campus activities, are in uniform and provide a positive image for the University. Interview, hire, orient, train, coach, discipline and evaluate event staff, including student supervisors and full-time attendants when scheduled. Monitor employee time clock use and complete and submit accurate payroll reports on time. Ensure all University policies, procedures, and rules are followed in accordance with the varying union contracts and other mandated requirements. 15% - Planning and Communication Assist Events Manager with the development and operational management of multi-department outreach, coordination and communication plans to streamline and expand processes to meet the increasing event needs of the University. Assist Events Manager to arrange parking access for conferences, seminars, athletic, commencements and other special events. Assist Events Manager with designing the event schedule. Participates in strategic planning affecting operational procedures and provides recommendations for the improvement of event management. Attend meetings/serve as a point of contact for certain assigned University departments to coordinate their event parking needs, logistical issues, and billing. 15% Assist with financial investigations Coordinate the collection of monies and report sheets from parking facilities. Work in connection with the departmental account ng staff to investigate cash control. procedural problems, errors, and potential theft. Conduct spot audits or other types of audits when requested. Work with attendants to ensure proper cash handling procedures are followed. 5% Assist with other parking functions as needed Work Environment Work is performed in both an office and field environment. Qualifications Minimum Qualifications BA/BS plus at least two years of experience or a combination of related education and work experience to equal at least six years, including two years experience in the operation of parking facilities with at least one-year involving supervision. A valid driver's license is required. Preferred Qualifications Ability to identify departmental priorities and make decisions to ensure work efforts and resources are employed appropriately. Ability to establish effective working relationships with a diverse customer base and work force. Experience leading effectively and working collaboratively with staff in a unionized setting. Personal characteristics that distinguish the incumbent as being an effective leader: team builder, customer-driven, decisive, results-oriented, and committed to improvement. Highly developed conflict management, negotiation and problem resolution skills. Proven written, verbal, interpersonal and persuasion skills. Ability to balance multiple work demands and to thrive in a changing environment. Knowledge of large-scale parking operations principles and practices; knowledge of parking systems including parking access control software and hardware, AS400 systems, and related systems is desirable. Well-developed computer proficiency in effectively using MS Office Suite software for work initiatives. Skill in using computerized scheduling software to track personnel.
