Work location and hours: 8:00 AM - 4:30 PM Monday to Friday, WFH one day per week (subject to change based on needs). Job Responsibilities: Event Planning and Management - 35% Identifies, proposes, develops, and evaluates strategic new opportunities for all of the Institute's non-consulting programs, projects, and services to sustain and expand IRSA. In addition to events, this includes summer internship programming, outreach activities, and the development of certificate programs. Prepares, plans, and reviews special events and communications budgets; forecasts expenditures and income, and develops subsequent costing models. Develops and implements new administrative initiatives, processes, and workflows to align with University/CLA/IRSA policy and procedure. Develops relationships with potential partners across campus and the Twin Cities that share mutual programming goals and directs collaborative program development. Assembles teams and leads the creation of new intellectual property content, identifies and builds technology capacities to fulfill program requirements, and manages all program and product files. Supervises project process in project management system (Asana), providing status reports through project lifecycle. Communicates progress of projects with unit leaders; collects feedback and approvals. Continuously works to improve the quality and efficiency of programs and processes by establishing KPIs, developing protocols for data collection and program evaluation, and reporting on findings. Serves as communications and events consultant to those collaborating with the school or IRSA, advising on how to align and expand programmatic offerings and communications to achieve joint business goals. Determines appropriate event formats and marketing channels to fulfill a need or address the identified challenge. Provides strategic event and communications direction to ensure content, design, and development meet project and client needs. Evaluate emerging opportunities for communicating the unit's activities and achievements, and develop strategic communication using marketing strategies (market analysis, branding, pricing strategies, advertisements, and promotions) to launch products and services. Develop IRSA as a platform for producing events proposed by parties inside and outside of the school. This includes developing and implementing tools to streamline the process. Event Execution - 30% Generally responsible for overseeing all planning, coordination, promotion, and implementation of events (workshops, conferences, celebrations, seminars, summer camps) -both free and paid--for the School and Institute, with general authority to make commitments on behalf of the units. Project management Works with collaborators and clients to identify priorities, set goals, formulate event concepts, and establish and execute work plans for a range of customized experiences strategically designed to enhance engagement and build community. Event planning facilitation Assembly and coordination of planning committee meetings and agendas, creation, and communication of planning timelines. Venue and vendor scouting, inquiry, booking, and coordination (e.g. food and beverage, equipment rental, decor, tech support, entertainment, accommodation contracts, event production support services, transportation, graphic design, etc.) Branding and design Graphic design support and implementation of branding across digital and printed event materials (internal design or coordination with external supp rt). Coordination with clients to design and create graphics and materials internally or by hiring out. Publicity and event promotion Creation and management of event web page content Preparation, coordination, and dissemination of digital and printed content/copywriting for announcements according to promotional plan (with input from committee on programmatic information). Registration management and attendee communications Setup and management of registration system, email monitoring, and general registration Q&A support as needed Collaboration with graphic designers and identified communications professionals to develop and distribute email messaging for attendees leading up to events. Presenter communication and coordination Travel and accommodation booking, coordination of schedules, collection, and management of materials Event pre-production Creation and management of public schedules and production team schedules. Facilitation of tech checks and rehearsals with tech support teams and presenters. Development of event programs, signage, name badges, and event materials with vendors and printers. Recruitment and management of volunteers, student workers, and additional paid support Event production Oversight of on-site event set up, production, and tear down. Management of event staff, student workers, and volunteers, on-site, providing training and leadership to those with less experience. Financial management and event administration Management of budget, funds, sponsorship monies, and payments Negotiates vendor agreements, contracts, and permits for events Creates sponsorship agreements for soliciting funds from organizations and individuals to support the unit's programs. Communication and Marketing - 25% Directs a broad range of internal and external communications-related work including print, social media, web content, multimedia, photo, video, and event coordination, ensuring consistent and effective messaging across all platforms. Designs, develops, and implements marketing programs to support events and programs for the school and IRSA. Serves as the unit's primary contact for public relations and media coordination, developing all advertising, marketing, and public relations materials to promote and reinforce strategic communication. This includes the development of communication and marketing plans for events, services, and activities like the Institute's paid conferences, workshops, short courses, and outreach programs. Designs invitations, flyers, programs, and announcements. Creates specialized or technical materials for marketing, publication, and/or public or internal relations as needed. Collaborates with the College of Liberal Arts and the University of Minnesota Foundation to ensure that the School of Statistics and IRSA strategies align with other University marketing and brand strategies. Supports and assists college communicators on school or IRSA-related marketing initiatives Represents the unit to other University colleges and departments, the media, and the public regarding questions, comments, or requests for information.
