This position organizes and oversees daily operations of the Institute. This position operates in a complex and multi-layered system and will need to effectively communicate and collaborate with colleagues internally and externally to the Institute. This position reports to the Department Administrator for the Department of Family Medicine and Community Health. This position is based out of Minneapolis, MN and is eligible for hybrid work from home and/or on campus work dependent upon individual performance and organizational need, though some regular on-site work will be expected. Because the University of Minnesota is a land-grant institution that serves the state, residing in Minnesota is typically required. Job Duties: Direct administrative support to the ISGH Director (50%): Provide daily and ongoing executive administrative support for the Institute Director and other faculty leaders as needed. Consult with and support ISGH Leadership on policy/program development and strategic planning. Provide strong calendaring and organizational skills for complex calendar needs for Institute Director. Create and enhance successful working relationships with strategic partners within the University and Medical School, and University of Minnesota Foundation, as well as with key external stakeholders. Respond and refer to inquiries as appropriate. Compose and/or produce correspondence, memoranda, letters of recommendation, presentations for stakeholders, figures and graphics for media. Overall Administrative and Operations Support for ISGH (40%): Schedule travel to professional meetings and process subsequent reimbursements. Plan, prioritize, schedule and provide staffing support for regular departmental and leadership meetings. This includes attendance at these meetings, working with the Institute Director and faculty leadership on the agenda, taking minutes and attendance, preparation of presentations and and other duties as required. Manage overall office facilities and lead projects to implement space and equipment changes. Coordinate and assist with planning and logistics for regional and national events, workshops, and seminars. Work with Department and Institute leadership to ensure adequate processes and procedures are in place to support ISGH faculty and staff. Contributes to process improvement activities. Other duties as assigned by Department Administrator or Institute Director. Supervision of administrative support staff members (10%): Setting priorities for the administrative support team to ensure quality and quantity of work completion. Supervise and perform a wide variety of administrative duties which may include general office/program administration, data filing, reporting, internal and external customer service, facilities, and special projects as assigned by the Institute Director or Department Administrator. Develop and establish work procedures and standards to improve efficiency and effectiveness of assigned operations. Interpret and adapt policies and procedures. Ensure compliance with established standards. Review and evaluate work performance of others. Supervise, delegate, train and conduct annual performance reviews for support staff. Starting salary is dependent on experience and qualifications. Anticipated salary range of $21.09 to $29.15hr. Qualifications Required Qualifications: BA/BS or a combination of related education and experience to equal 4 years. Demonstrated strong communication (oral and written), interpersonal, organizational, and project management skills to develop and advance projects. De onstrated ability to take initiative and work independently. Experience and/or commitment to working with a diverse group of people. Preferred Qualifications Demonstrated ability to move multiple projects forward at the same time and meet deadlines. Experience using Google Applications (mail, calendar, docs, and forms) Microsoft Office Suite programs (including Word, Excel, PowerPoint), Zoom, as well as other standard office software packages and office equipment. Prior supervisory experience.
