Ascensus Distribution Senior Associate in Milwaukee, Wisconsin

Section 1: Position Summary

The Senior Distribution Associate will support the Loans and Distributions team to provide timely and accurate processing of distributions/loans. This role will serve as a resource to assist in resolving processing issues when needed and will provide quality control for the team. Will work closely with internal and external clients to ensure that transactions are processed in a timely manner and exceptions are resolved as quickly as possible. The role also requires understanding operational workflows as it relates to both the individual role and Operations as a whole.

Section 2: Job Functions, Essential Duties and Responsibilities

  • Timely and accurate processing of all disbursement types.

  • Conduct quality review for all disbursement types.

  • Reconcile 1099R records by researching and resolving all discrepancies on payouts including applicable state and federal tax withholding, fees, etc.

  • Timely and accurate production and distribution of 1099R’s, RMD’s, death benefits, corrective distributions, and other cyclical events related to distribution processing.

  • Ability to identify and solve external escalated issues/concerns

  • Ability to resolve consultant or client requests as assigned.

  • Collaborate with team members to continuously improve processes that enhance the ability to meet team goals and objectives. Drive changes to create efficiencies and reduce risk within specified functions.

  • Provide assistance and mentoring of other associates and acts as first line of escalation for problematic issues.

  • Continuously increase skill set on less familiar topics that have an influence on the department.

  • Provide management reporting as required.

  • Participate in projects as assigned by working in conjunction with leadership and resources from other business units.

  • Assist with workload assignment across the team to ensure adequate coverage to meet SLA’s.

  • Participate in audit activities and cyclical events as required.

  • Assist with testing of new system functionality as needed.

  • Document procedures and workflows. Maintain documents as workflows or controls change.

  • Provide mentoring and training to teammates or peers.

  • Support and backup leadership as needed.

  • Assist with other tasks and projects as assigned.

  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Section 3: Experience, Skills, Knowledge Requirements

  • 3-5 years of experience in loans and distributions, retirement plans or related field

  • Ability to document procedures that are clear and easy to understand.

  • Effectively communicates with clients on specific tasks.

  • Functional ERISA knowledge or job specific technical knowledge required.

  • Addresses conflicts with team as well as effectively escalating cross team conflict so that senior associates and/or leadership can address.

  • Ability to train peer’s on a new or existing process/procedure and understands the conceptual impacts of the tasks they are training other on.

  • Independently makes decisions on participant or plan level transactions and recognizes new "outside the box" situations and escalates those appropriately.

  • Bachelor’s degree preferably in Business Administration, Management, Finance or equivalent work experience

  • Familiarity MS-Office software applications, including Excel, PowerPoint, & Word
