State of Massachusetts Program Coordinator I - Policy Development & Compliance Unit in Milford, Massachusetts
Duties: The Program Coordinator I will be responsible for the administrative duties of the Policy Development and Compliance Unit as well as assisting with the program management of PowerDMS. Some of the duties and responsibilities shall include: · Providing administrative support to PDCU Director, Deputy Director, Program Coordinator III & II, and Auditors. · Maintaining the unit schedule and calendar for all PDCU staff. · Completing the payroll report for unit staff and submits to DHR. · Preparing all necessary correspondence and memorandums for signature as needed. · Responsible for monitoring the tickler log in IMS and ensuring that all tickler requests are completed in a timely manner and entered into the IMS Communications Database. · Prepares and distributes state, county, and ACA audit schedule, prepares the audit notifications and forwards to appropriate institutions within proper time frames, anddistributes all confidential reports resulting from state and county audits. · Coordinates all necessary travel arraignments for unit staff and ACA auditors. Submits proper reimbursement forms to fiscal department in a timely manner. · Acts as the liaison between the Department and ACA regarding contracts, finalizing schedules, submitting invoices and any other related information. · Responsible for the distribution of Department of Public Health (DPH) reports to the appropriate institutions and executive staff. · Schedules meetings, prepares necessary meeting materials and agendas, takes accurate minutes, and distributes such minutes as necessary. · Completes all office filing (paper and electronic) as needed and in a timely manner. · Responsible for uploading all final DPH, ACA, State, and County Audit Reports to PowerDMS as needed. · Completes all weekly staffing changes for the Department and Vendor in PowerDMS. · Complete password resets for PowerDMS, IMS, Novell and Intranet as needed. · Responsible for monitoring thePowerDMS@mass.govemail account. Refers any necessary e-mails to the PowerDMS Team for handling. PREFERRED QUALIFICATIONS: Knowledge and experience utilizing PowerDMS. Proficient with Microsoft Office products such as Word, Excel, Access, PowerPoint, Outlook, etc. to include the capabilities to create spreadsheets, databases, proper correspondence and maintain accurate records. Ability to exercise sound judgment, effectively make decisions and exercise discretion in handling confidential information. Ability to follow oral and written instructions. Must possess exceptional organizational skills to include office management. Comments: This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) two years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. A Bachelor's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.* II.
