Description
Job Summary:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our senior management team. The Executive Assistant will play a key role in managing executive schedules, handling communications, preparing reports, and ensuring the efficient operation of the executive office.
Key Responsibilities:
Calendar Management: Organize and manage executives' schedules, arrange meetings, appointments, and travel plans, ensuring optimal use of their time.
Communication: Screen and prioritize emails, phone calls, and correspondence; respond on behalf of the executives when needed.
Meeting Coordination: Prepare agendas, take minutes during meetings, and follow up on action items. Ensure all necessary materials are prepared in advance.
Travel Arrangements: Plan and book travel, including flights, accommodations, and itineraries for executives, ensuring a smooth and efficient process.
Document Preparation: Prepare, edit, and proofread reports, presentations, and other documents. Handle confidential and sensitive information with discretion.
Event Planning: Organize and coordinate company events, conferences, and meetings as needed.
Project Management: Assist with managing specific projects or initiatives by organizing timelines, coordinating resources, and following up on deliverables.
Office Management: Maintain office supplies, equipment, and facilities, ensuring the office is well-organized and functioning efficiently.
Liaison Role: Act as a liaison between executives, employees, clients, and stakeholders, maintaining effective communication and fostering positive relationships.
General Administrative Support: Provide general administrative assistance to executives, including drafting correspondence, handling incoming mail, and performing other clerical tasks.
Requirements
Qualifications:
Excellent organizational and time-management skills.
Strong verbal and written communication skills.
High level of proficiency with office software (Microsoft Office Suite, Google Workspace, etc.).
Ability to multitask, prioritize effectively, and work under pressure.
Strong problem-solving skills and attention to detail.
Ability to maintain confidentiality and exercise discretion.
Professional demeanor and ability to interact with individuals at all levels within and outside the organization.
