The department of Medicine is seeking a Manager, Patient Services. The Manager will coordinate necessary arrangements for patients. Liaison between referral sources, patients, hospitals and physicians for assistance with health care needs. Assures that medical services are coordinated in a timely, accurate and courteous manner according to established guidelines.

CORE JOB FUNCTIONS

Serves as primary coordinator for patient services. Schedules appointments, registers patients, and verifies insurance coverage. Escorts patients through all phases of the treatment process. Communicates patient and visitor rights and responsibilities to patients, families, and staff. Interacts with peers, practitioners, administrators, and other customers in a manner that represents the health system in a positive light. Maintains communication with patients regarding follow-up appointments, anticipates additional needs, and educates patients on services. Liaises between the Office of Patient Advocacy, clinic staff, and other departments to expedite appointments. Assists with the management of the hospital’s “high sensitivity” patients. Works closely with patient advocates in identifying areas of opportunities for process improvement, and collaborates with department leaders, practitioners, and staff to improve patient safety and satisfaction. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

  • Provide personalized attention to high-profile patients, ensuring their unique needs are met.

  • Coordinate referrals for patients at the highest levels of the institution. This includes but is not limited to board members, development officers, and current/prospective donors.

  • Handle escalated issues/appointments/consults related to patients referred from Pita’s Practice, One Medical and Fisher Island. Address their concerns and appointment requests promptly and ensure resolution.

  • Oversee and execute appointment scheduling, consultations, and follow-up care for high-profile individuals, Champions, Prospective Champions, Concierge patients, and Executive Medicine patients.

  • Coordinate with physicians, specialists, and other healthcare providers to optimize patient care journey.

  • Safeguard patient information and maintain strict confidentiality.

  • Offer concierge-like services, such as arranging private waiting areas or expedited check-ins.

  • Collaborate with other departments (e.g., nursing, billing, administration) to ensure seamless patient experiences.

  • Act as an advocate for high-profile patients, ensuring their preferences are considered during treatment decisions.

  • Address scheduling challenges by working closely with colleagues from different divisions.

  • Liaise with external partners (e.g., referring physicians, insurance companies) to facilitate patient care.

CORE QUALIFICATIONS

Education:

Bachelor’s degree in related field

Experience:

Minimum 5 years of relevant experience

Knowledge, Skills and Attitudes:

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to establish department goals and objectives that support the strategic plan.

  • Ability to effectively plan, delegate and/or supervise the work of others.
